About the Role
Wedlake Bell is seeking a Legal Secretary for their Private Client team. This role is crucial for supporting fee-earners with document preparation, file management, diary management, and client liaison, ensuring the team operates smoothly. Responsibilities
- Support the preparation and management of legal documents, BD material, presentations, and correspondence from dictation, drafts, or typed documents.
- Respond quickly to new tasks assigned by the team via BigHand.
- Manage diaries efficiently for fee earners, arranging meetings and appointments, including in-person or video calls via MS Teams.
- Organize travel arrangements for business trips within the UK and abroad.
- Communicate with clients and stakeholders, providing administrative and case-related support.
- Open, maintain, and organize team files via iManage for easy information access.
- Liaise with the firm's AML team to open new matters and collect required client documents.
- Support Private Client team's BD initiatives by updating the CRM with client information and activity via InterAction.
- Coordinate the billing process for fee-earners by opening matters via 3E Elite and liaising with the Accounts & Finance team.
- Handle confidential information with discretion.
- Perform other ad-hoc duties as required.
Requirements
- Proven experience as a Legal Secretary (at least six years) in a fast-paced law firm, ideally within a Private Client environment.
- Exceptional organizational skills with the ability to prioritize tasks effectively under tight deadlines.
- Fast and accurate typing skills with high standards of written English and grammar.
- Strong communication skills, both written and verbal, with an emphasis on client service.
- Proficiency in Microsoft Office Suite.
- Familiarity with legal document management systems or other key software (iManage, 3E Elite, InterAction, BigHand, etc.).
- Keen attention to detail and a commitment to accuracy.
- Ability to work collaboratively in a team environment.
