About the Role
Sage Hospitality Group is seeking a Conference Services Manager at Hotel Van Zandt in Austin, Texas, to plan, organize, and manage group and convention bookings, ensuring maximization of revenue and quality of service.
Responsibilities
- Manage and plan meetings, conventions, and related activities.
- Attend Banquet Event Order (BEO) and staff meetings, acting as a team leader for event delivery.
- Achieve productivity and activity goals.
- Coordinate group business from contract signing, following up within 5 working days.
- Determine and coordinate all event planning needs.
- Maintain organized and up-to-date file management.
- Develop customer profiles and maintain an effective trace system.
- Develop strong customer relationships through professional communication.
- Follow up on all client needs and inquiries efficiently.
- Focus on revenue-generating activities and maximize selling time.
- Detail and up-sell programs with clients, including space, A/V, menus, and themes.
- Prepare resumes and paperwork for quality service.
- Manage function details to ensure program requirements are met.
- Anticipate and handle customer complaints to ensure satisfaction and repeat business.
- Oversee all billing details for hotel groups, including deposits and credit card authorizations.
- Improve hotel convention services through sales tools, competitive analysis, and customer needs assessment.
- Monitor and control individual client event budgets to maximize revenue and minimize expenses.
- Attend and lead pre-conference meetings, coordinating with clients and hotel staff.
- Close out all groups, including processing commissions.
Requirements
- More than two years of post-high school education.
- One to two full years of employment in a related position.
- Working knowledge of banquet/catering food and beverage services, policies, or operations.
- Knowledge of computer equipment.
- Ability to compile facts and figures.
- Supervisory skills.
- Communication skills for interacting with management and guests.
- Excellent hearing for verbal interaction.
- Excellent vision for set-up observation.
- Excellent speech communication skills for verbal interaction.
- Ability to lift, push, pull, and carry tables, chairs, and boxes up to 50 lb.
- Ability to bend and kneel for tasks like taping cords and skirting tables.
- Mobility to service clients at variable distances.
- Ability to stand continuously for up to four hours.
- Ability to climb stairs (approximately 55 steps) 3-5% of a 10-hour day.
