About the Role

To oversee all functions related to the management of the Springer Nature office in Tokyo, including facilities, leases, crisis management, and employee engagement.

Responsibilities

  • Manage the facilities and oversee the working environment of the office.
  • Manage office leases and relocation projects.
  • Assist Head of GGA Greater China and Japan design/update local GGA related policies and supervise their execution.
  • Be responsible for fire and evacuation confirmation drills, manage first aid trainings.
  • Manage the local DRP (Disaster Recovery Plan) and BCP (Business Continuity Plan).
  • Organise Local Crisis Management Team meetings and contribute to monthly management meetings as well as to management decisions relating to the running of the office.
  • Manage physical fixed assets.
  • Set up or maintain office seating plans, including desk allocation for new starters/visitors or management of desk sharing, and conduct induction trainings.
  • Manage vendors and service contracts, including contracts with local hotels and negotiating corporate rates.
  • Review and approve company stamp/ MD signature requests.
  • Organise company events and support local staff in welcoming international guests and visitors.
  • Contribute to Green Impact Network activities.
  • Ensure that all staff are aware of business travel procedures.
  • Participate in projects related to the running of the Japan office as required.
  • Manage and develop GGA team members.
  • Perform all duties as required.
  • Reporting e.g., Facilities/ Environmental/ Property values including energy data.
  • Health and Safety initiatives.
  • BCP (Business Continuity Planning) / Crisis Management.
  • Management of insurance program for Japan e.g., fire and liability insurance.
  • Handling of selected Governance, Risk and Compliance issues in Japan.
  • Contribution to global projects e.g., SDG initiatives.
  • Assistance to line manager with specific projects and selected tasks as required.

Requirements

  • Minimum 5 years of experience in General Affairs, Office Management, Facilities Management, Workplace Services, or a related function.
  • Proven experience in office operations, facilities management, vendor management, and workplace-related services.
  • Experience managing office relocation, workplace improvement initiatives, or facilities-related projects is highly desirable.
  • Experience working in an international and multicultural environment.
  • Experience supporting senior leadership and collaborating with stakeholders across different countries and functions.
  • Experience in business continuity planning (BCP), crisis management, health and safety, or risk management would be advantageous.
  • Previous experience coordinating, mentoring, or guiding team members is desirable.

Skills

  • Native-level Japanese and business-level English communication skills, both written and verbal.
  • Confidence in communicating with senior leaders and global stakeholders.
  • Strong project management and organizational skills, with the ability to manage multiple priorities simultaneously.
  • Hands-on, proactive, and solution-oriented approach to office and workplace management.
  • Good understanding of facilities management, workplace operations, business continuity, and health and safety practices.
  • Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, Outlook, and Teams.
