About the Role

The Assistant Office Manager will establish and implement short and long-range objectives for the assigned department, oversee related functions and activities, and administer company policies and procedures.

Responsibilities

  • Train new staff and orientate to their new office.
  • Coordinate and oversee the day-to-day workflow of subordinate staff.
  • Conduct or assist with performance evaluations as requested.
  • Assist with location inventory.
  • Fill in for Office Manager when out of office.
  • Become proficient in each Job position listed in their practice.
  • Monitor departmental performance, identifying and facilitating opportunities to increase productivity and efficiency.
  • Manage daily aspects of the department and its staff to ensure projects are completed and goals and patient needs are met.
  • Plan, direct, and coordinate KPI’s, goals, and operational productivity with the location manager.
  • Analyze costs, benefits, and losses of company profits with other managers.
  • Assist in managing inventory and facilitating purchases as needed.
  • Manage conflicts and resolve complaints about or within the practice location.
  • Assist in task-related audits.
  • Perform other related duties as assigned.
  • Assist with operational flow, including wait times, patient schedules, and patient flow.
  • Maintain open communication with providers regarding schedules and patient issues.
  • Attend monthly office manager meetings.
  • Prepare all paperwork for the following day.

Requirements

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 25 pounds at times.

Skills

  • Excellent verbal and written communication skills.
  • Ability to work both independently and collaboratively.
  • Excellent time management skills with the ability to assign and delegate tasks.
  • Proficient with Microsoft Office Suite or related software.
  • Excellent organizational skills and attention to detail.
  • Critical thinking skills.

Experience Level

  • Two years of related experience in the industry required.
