About the Role
Promise Academy, the K-12 charter school within Harlem Children’s Zone's cradle-to-career pathway, seeks an Office Manager to support its mission of breaking the cycle of intergenerational poverty and empowering students to succeed in college and beyond.
Responsibilities
- Sets up and cleans up after meetings in the conference room.
- Supervises space planning and internal office moves and renovations.
- Oversees proper and timely maintenance and repairs of office equipment.
- Interacts with appropriate parties to address building services issues (HVAC, electrical, plumbing, security).
- Answers phones and directs correspondence.
- Manages part-time cleaning staff.
- Updates employee files, maintains staff timesheets, and communicates with payroll.
- Updates the database and tracks various systems.
- Creates and maintains new electronic and paper filing systems.
- Assists with day-to-day financial recordkeeping (petty cash, expense reports, reconciliations).
- Prepares memorandums and materials describing office procedures and standards.
- Maintains proper document filing systems for clients and office management tasks.
- Coordinates the purchase order process and negotiates contracts for office supplies, furniture, equipment, and administrative/maintenance services.
- Monitors contracts for office equipment and support services.
- Maintains an inventory of office supplies.
- Organizes staff development sessions and training in office technology.
- Performs telephone outreach as needed.
- Performs other duties as assigned.
Requirements
- Must be well organized and detail-oriented.
- Must have excellent verbal and written skills.
- Ability to function well as part of a team and work independently.
- Ability to adapt to the needs of the department.
- Does not provide work visas for candidates requiring employer sponsorship.
