About the Role

The Emergency Services Coordinator will assist and provide administrative support to the OES Director to ensure San Francisco State University is trained and well-equipped to respond to campus-wide incidents and wide-scale emergencies. This role also serves as the primary office administrator, ensuring financial and administrative functions comply with systemwide policies and departmental expectations.

Responsibilities

  • Lead the design, development, implementation, and management of emergency operations administration programs, systems, procedures, and methods.
  • Prepare emergency management reports for Campus leadership.
  • Support the emergency management Training and Exercise program, including preparing and maintaining training matrices and programs for compliance.
  • Schedule, coordinate, and facilitate emergency preparedness and response trainings for faculty, staff, students, and community members.
  • Support facilitation of emergency management tabletops and exercises.
  • Review Campus Emergency Operations Plan (EOP) and other emergency plans annually and provide recommendations.
  • Research and explore opportunities for mutual aid assistance.
  • Collaborate with Campus stakeholders in the development of scenario-specific annexes to the EOP.
  • Assist with providing resources and materials for the Building Evacuation Program, including trainings, fire drills, and planning.
  • Maintain an inventory of emergency resources on Campus.
  • Provide guidance and recommendations to Campus units and community members regarding building evacuation drills, emergency supplies, emergency management initiatives, and emergency procedures best practices.
  • Assist with outreach event planning, such as the annual Campus Safety Week.
  • Lead the development and maintenance of emergency management web pages and social media platforms.
  • Assist with business innovation and process improvement efforts, developing new strategic approaches and solutions.
  • Maintain OES and EOC continuity plans as departmental Continuity Liaison.
  • Help ensure all departmental documents meet accessibility standards.
  • Act as primary EOC Coordinator during EOC activation.
  • Assist EOC Director with EOC setup, activation, documentation, and coordination of staff.
  • Use sound judgment in analyzing, interpreting, and applying complex data during EOC activations.
  • Maintain the readiness of the Emergency Operations Center (EOC), including researching standards, maintaining rosters, and ensuring updated forms and documents are accessible.
  • Maintain the virtual Emergency Operations Center (EOC) in Teams.
  • Lead documentation and record retention for emergency management related records.
  • Independently research, compile, and analyze data on administrative, management, fiscal, and compliance issues related to emergency management for process development and strategic planning.
  • Serve as Timekeeper for OES Student Assistant hours and oversee student projects.
  • Ensure appropriate use of departmental purchase card and travel card, purchasing supplies, arranging travel, and other administrative purchase needs.
  • Collaborate with other Risk & Safety Services analysts to ensure consistent application of University policy and procedures.
  • Monitor and maintain vendor relationships and create requisitions/purchase order requests.
  • Support the development and administration of the departmental budget.
  • Perform other administrative duties as needed.
  • Perform other duties as assigned.

Requirements

  • General knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles, practices, and methods.
  • Thorough knowledge of and ability to apply extensive expertise to complex programs and/or administrative specialties, including pertinent laws and regulations.
  • Demonstrated expertise in and advanced knowledge of the principles, problems, and methods of public and business administration and operational and fiscal management.
  • Expertise in administrative survey techniques, operations and systems analysis, statistical and research methods, and the ability to interpret and evaluate results to develop sound conclusions and recommend new or revised policies.
  • Ability to understand problems from a broad, interactive perspective and discern applicable underlying principles to conceive of and develop strategic solutions.
  • Ability to work with representatives from public and private entities and handle potentially sensitive situations.
  • Demonstrated consultative skills in working with internal and external constituent groups.
  • Ability to present ideas and concepts effectively in written or presentation format and use consultative and facilitation skills to gain consensus.
  • Must be able to provide proof of US Citizenship or authorization to work in the United States within three business days from their date of hire.
  • Successful completion of a background check is required.

  • Standardized Incident Management System (SEMS) training (within six months of employment).

Salary/Compensations

  • $70,524.00 – $77,856.00 Annually
