About the Role

The Staff Accountant will assist the Director of Finance and Assistant Director of Finance in maintaining accurate and timely financial reporting, ensuring internal control, regulatory compliance, and safeguarding assets. This role specifically focuses on managing Payroll, Income Audit, and Accounts Receivable processing and collections.

Responsibilities

  • Monitor, prepare, and communicate financial reports in accordance with Highgate Hotels required due dates.
  • Perform Income Audit, including entering information into the BiPortal daily.
  • Utilize and maintain the time and attendance system to process daily, weekly, and bi-weekly payroll, verifying information and recording earnings/deductions.
  • Prepare and input all required payroll journal entries.
  • Manage the daily Accounts Receivable credit, billing, and collection process.
  • Monitor payment requirements for groups or functions and process deposits.
  • Approve or decline credit requests.
  • Conduct collection calls on outstanding accounts and maintain collection files.
  • Review and approve City Ledger transfers daily, communicating any deviations from established Accounting policies and procedures to supervisors.
  • Handle customer inquiries professionally and timely, providing accurate invoices, statements, and schedules.
  • Process returned checks and credit card chargebacks.
  • Conduct monthly credit meetings and maintain minutes, including returned checks/chargeback logs, credit trace reports, write-offs, and bad debt allowances.
  • Partner with the Sales and Events Team by establishing customer credit, including application processing, reference checks, credit limitation, direct billing lists, and deposit requirements.
  • Maintain an efficient collection process with organized filing and tracing systems, issuing letters, monitoring returned checks and chargebacks, performing collection calls, and preparing bad debt write-offs.
  • Update daily revenue reports for internal and corporate distribution.
  • Monitor guest ledger, advance deposit ledger, and other related ledgers to ensure proper internal control.
  • Keep management informed of any unusual operational or financial occurrences and significant deviations.
  • Reconcile invoices against ledgers or schedules to ensure invoicing accuracy.
  • Assist in the monthly close process by posting journal entries related to daily/monthly responsibilities.
  • Ensure overall guest satisfaction by attentive listening and promptly resolving guest issues or escalating them to the Director of Finance or General Manager.
  • Cross-train in other areas within the Accounting Department, including accounts payable.
  • Identify root causes of issues affecting staff or guests and provide actionable solutions to improve efficiency, the work environment, and guest experience.

Requirements

  • College courses in an associated or related field and/or related experience in a Hotel or Hospitality environment.
  • Proficiency in Windows and Microsoft Office (Intermediate Excel and Basic Word).
  • Experience with Accounts Receivable and Payroll is preferred.
  • Experience with Hotel PMS Opera is preferred.
  • Flexibility for long hours, especially during the last and first few days of the month.
  • Sedentary work, exerting up to 10 pounds of force occasionally.
  • Ability to maintain a warm and friendly demeanor at all times.
  • Effective verbal and written communication skills with all levels of employees and guests.
  • Ability to listen, understand, and clarify concerns raised by employees and guests.
  • Ability to multitask and prioritize departmental functions to meet deadlines.
