About the Role
Provides direct administrative coordination and support to a department and/or group of professionals, relieving supported individuals of administrative responsibilities to enable greater productivity and efficiency. Represents the firm professionally in all communications and may interface with clients and outside parties. Works under limited guidance, exercising discretion and independent judgment to analyze information requests and determine trends. Proactively identifies systems and processes for greater efficiencies.
Responsibilities
- Arranges complex travel itineraries and submits expense reports.
- Manages calendars by anticipating needs, adjusting for conflicts, and ensuring all logistics.
- Updates and maintains contact databases.
- Compiles and analyzes information for reports or presentation materials.
- Prepares reports, charts, graphs, or tables.
- Provides office support including answering phones, greeting clients, distributing mail, maintaining files, taking meeting minutes, creating documents, and processing invoices.
- Participates in projects requiring independent judgment/interpretation of policies/practices.
- Acts as a resource and trains new and/or junior administrative team members.
- Performs additional responsibilities as requested.
Requirements
- Five plus years working in an office environment.
- Experience supporting senior-level bankers highly preferred.
- Professional or financial services industry background preferred.
- Excellent verbal and written communication skills.
- Proven problem-solving and critical thinking skills.
- Willingness to adapt to change.
- Multitasking abilities.
- Ability to work in a fast-paced environment.
