About the Role

The Operations and Systems Manager oversees academic records, registration services, degree audit and graduation processes, curriculum and course management, student information systems administration, specialized program registration, classroom scheduling, and daily Registrar’s Office operations. This position ensures the integrity of student academic records and institutional data, supports academic and administrative departments through effective systems management and process improvement, and provides leadership for registration, curriculum, graduation, and operational services. The role serves as a key liaison among students, faculty, advisors, academic departments, Admissions, Information Technology, and other campus stakeholders to support student success and institutional compliance.

Responsibilities

  • Oversee student degree progress records, including exceptions, substitutions, waivers, overrides, and degree audits within the student information system.
  • Evaluate degree completion and graduation eligibility; communicate outstanding requirements with students, advisors, and academic departments.
  • Coordinate degree conferral, transcript updates, diploma processing, and transfer credit evaluations.
  • Maintain transfer equivalency data in collaboration with Admissions and academic departments.
  • Assist the Directors with registration operations for all academic programs, including setup, permissions, enrollment, payment processing, and specialized programs.
  • Provide comprehensive student records services, including registration, transcripts, enrollment verification, grading, withdrawals, program changes, and related support.
  • Assist with maintaining curriculum, course, catalog, and academic calendar data; process course and program updates in collaboration with academic departments.
  • Support the administration, testing, maintenance, and data integrity of the student information system and related technologies.
  • Develop reports, monitor system operations, and recommend process and system improvements.
  • Maintain departmental web content, respond to inquiries, and manage office administrative functions, including purchasing and budget support.
  • Ensure compliance with FERPA and institutional policies.
  • Participate in special projects and perform other duties as assigned.

Requirements

  • Associate’s degree and two (2) years of relevant experience, or a combination of education and relevant experience.
  • Minimum of 3-5 years of progressively responsible experience in higher education administration, registrar services, enrollment management, academic records, or a related field.
  • Experience working in a web-based catalog/curriculum system, database management.
  • Working knowledge of relational database systems (Ellucian Colleague preferred).
  • Experience supervising staff and coordinating cross-functional projects.
  • Experience with digital imaging, workflow automation, and electronic records management systems.
  • Ability to work occasional evenings and weekends as operational needs require.
  • Commitment to maintaining confidentiality and safeguarding institutional data.

  • Demonstrated knowledge of student records, registration, curriculum management, degree audit processes, and academic policies.
  • Strong organizational, analytical, and problem-solving skills.
  • Excellent written, verbal, and interpersonal communication skills.
  • Demonstrated commitment to customer service and student support.
  • Ability to manage multiple priorities, meet deadlines, and work independently and collaboratively.
  • Advanced proficiency with Microsoft Office and cloud-based productivity tools.
  • Experience with student information systems, preferably Ellucian Colleague or similar enterprise systems.
  • Knowledge of relational databases, reporting tools, and data management practices.
  • Knowledge of FERPA and other applicable higher education regulations.
