About the Role

As a Receptionist, you will be the first point of contact with clients and visitors for the Firm. Responsibilities include inbound call answering, welcoming guests, greeting visitors, administrative tasks, and coordination of front-desk activities like distributing mail and correspondence and redirecting phone calls. The successful candidate will have a positive and welcoming personality, as this is a customer service type of role, in addition to the demonstrated ability to multitask.

Responsibilities

  • Answering, screening, and directing inbound phone calls; taking messages, updating the office calendar, and scheduling meetings as needed.
  • Greeting clients, visitors, and guests; determining the purpose of each person’s visit and directing or escorting them to the appropriate location in the office.
  • Receiving mail, documents, packages, and distributing items accordingly.
  • Performing administrative and clerical support tasks, like supplies ordering, scanning, photocopying, filing, typing, and recordkeeping.
  • Keeping updated records of office related expenses.
  • Maintaining conference rooms, break areas, kitchens, and reception area.
  • Additional duties as assigned.

Requirements

  • Proficient in English (oral and written)

  • Basic understanding of administrative and clerical procedures and systems

  • Familiarity with multi-line phone systems and other office machines (e.g., fax, printer, etc.).
