About the Role

Provide high-quality, proactive administrative support to the Pro Bono and Responsible Business team, ensuring efficient delivery of schemes, projects, and initiatives with accurate record-keeping.

Responsibilities

  • Provide day-to-day administrative support across Pro Bono and Responsible Business schemes, projects and initiatives.
  • Maintain accurate records, rotas, calendars and trackers.
  • Manage Pro Bono and Charitable Foundation inboxes, triaging, tracking, and escalating queries.
  • Coordinate meetings for committees and boards, including agendas, minutes, and action tracking.
  • Support event planning and delivery, including logistics and participant communication.
  • Assist with document and correspondence management, including presentations and filing.
  • Support the maintenance of key resources, guides, and communications materials.
  • Support internal and external communications coordination.
  • Assist with pro bono matter administration, including onboarding, file management, and archiving.
  • Support the advertising and coordination of pro bono opportunities and volunteer allocation.
  • Support the screening and vetting of potential charity and community partners.
  • Support the processing of invoices and related record keeping.
  • Carry out other administrative duties as required.

Requirements

  • Experience in an administrative, team assistant, coordinator, or comparable support role.
  • Excellent administrative skills with strong attention to detail, accuracy, and discretion.
  • Highly organised with the ability to prioritise tasks and manage competing deadlines.
  • Strong written and verbal communication skills with professional liaising ability.
  • Proactive, self-motivated, and able to use initiative.
  • Client-service orientated, professional, and accountable approach.
  • Good team-working skills and a collaborative approach.
  • Solutions-focused with good problem-solving skills.
  • Good working knowledge of Microsoft Word, Excel, PowerPoint, Outlook, and Teams.
  • Ability to use Excel to collect, organise, and process data accurately.
  • Comfortable using, or willing to learn, AI tools and automation.
  • Some experience supporting projects, events, or committees is desirable.
  • An interest in pro bono, responsible business, charity, community, or sustainability work is helpful.
