About the Role
Victoria Park Medispa Group is seeking a Front Desk Coordinator to be the heartbeat of their clinics, creating first impressions, building trust, and enhancing the client experience. This role is crucial in shaping the future of medical aesthetics in Canada.
Responsibilities
- Welcome clients in person and on the phone with warmth, professionalism, and confidence
- Guide clients through questions about medical aesthetic treatments
- Book appointments and optimize schedules for physicians and technicians
- Manage patient check-ins, checkouts, and re-bookings seamlessly
- Process medical billing and invoices with accuracy and discretion
- Provide administrative support to physicians and the Operations Manager
- Support clinic operations and special projects as needed
- Ensure no detail slips through the cracks
Requirements
- Experience in a clinic or healthcare setting is an asset, but attitude, professionalism, and client focus matter most
- 1–2 years of experience in an administrative, coordination, or client-facing role
- Clinic or healthcare experience is an asset, not a must
- Ability to follow processes accurately with limited supervision
- Flexibility to support clinic scheduling needs
- Background or interest in aesthetics and wellness is a strong asset

- Strong communication skills both verbal and written
- Comfort with sales conversations and guiding clients toward the right services
- Excellent organizational skills
