About the Role
We are looking for an Administrator for Service of Process to join our closely knit team and take responsibility for all aspects of Service of Process administration for a wide range of clients. Full training will be provided. This is an excellent opportunity to further develop your administrative skills in a highly regarded organisation working as part of a friendly and busy team.
Responsibilities
- Take regular telephone and email queries from clients and law firms concerning current appointments, new appointment enquiries, and general queries on all aspects of SOP work.
- Calculate fees for appointments and provide fee quotes to lawyers and appointors.
- Follow up on enquiries to confirm service requirements and transaction timelines.
- Provide cover and assistance to colleagues during absences and heavy workloads.
- Assist with a range of tasks as needed, including credit control and assisting the Escrow team.
- Liaise with London, Hong Kong, and Ireland offices for appointment acceptance.
- Manage the in-house database system, including entering company/personal/appointment information and checking/recording legal documents.
- Handle Financial Sanctions.
- Assist with termination letters by checking daily reports and merging information into letters or emails to remind clients of expiring contracts.
- Open and process post and courier packages.
Requirements
- Strong organizational skills, a highly systematic and logical approach, and the ability to multi-task.
- High level of attention to detail, ensuring accurate and timely completion of critical tasks.
- Friendly and helpful manner, with the ability to work within a small and closely knit team.
- Commitment to a high level of customer service.
- Ability to work independently on own initiative once trained.
- Aptitude for implementing efficient processes.

- Good communication skills and a confident telephone manner.
- Ability to deal with people at all levels on the telephone and by email.
- Previous experience in process administration, particularly with high volumes of work.
- IT literate with excellent computer skills, particularly MS Office, Excel, and Outlook.
