About the Role
Provide comprehensive Executive Assistant support to a Managing Director and wider deal team in London, Europe, and Dubai. This includes general administrative/personal assistant duties, and the organization and coordination of complex roadshows and meetings.
Responsibilities
- Coordinate extensive and complex international travel across many different time zones with a network of EAs from all Actis offices and investor companies.
- Organize complex portfolio company trips.
- Manage travel arrangements including visa requirements.
- Manage diary using MS Outlook, including arranging meetings, lunches, booking meeting rooms, and greeting visitors.
- Monitor and manage incoming and outgoing emails and flag as required.
- Handle internal and external calls, answer queries, take messages, and arrange conference calls.
- Manage travel budgets and expenses.
- Set up and maintain files as required.
- Support the organization and implementation of team events.
- Assist in the preparation of presentations and reports, including creating high-standard PowerPoint presentations.
- Provide buddy support and absence cover for other Executive Assistants.
Requirements
- Experience in an investment banking, private equity, or business development environment is desirable.
- Extensive EA experience at Partner level.
- Experience in organizing international travel.
- Experience and comfort in working within an international environment.
- Self-motivated and ability to work in a small office environment.
- Ability to work independently with little direction when team are travelling.
- Ability to be discreet and maintain confidentiality.
- Demonstrate problem-solving skills by being creative, innovative, and considerate.
- Confidence and ability to communicate effectively at all levels, both internal and external.
