About the Role
We are seeking a motivated individual to manage our Berlin office's daily operations, ensuring a smooth and efficient work environment for employees and guests. This role is crucial for maintaining our office infrastructure and supporting our team's administrative and technical needs.
Responsibilities
- Serve as the first point of contact in our Berlin office for employees and guests.
- Manage the telephone system and general correspondence (internal/external), including mail handling.
- Organize and manage office infrastructure, such as supplies, equipment, meeting rooms, and vendor coordination.
- Act as a point of contact for organizational matters within the team, particularly travel and appointment scheduling.
- Address administrative and technical concerns and manage the provision and administration of technical equipment.
- Assist in planning internal events, agency activities, and client meetings.
- Support onboarding and offboarding processes, including workspace preparation, handovers, and access rights.
- Coordinate onboarding appointments.
- Perform preparatory accounting tasks.
Requirements
- Completed commercial apprenticeship or comparable qualification.
- Professional experience in a comparable position, preferably in an agency or event environment.
- Strong service and customer orientation.
- Friendly and reliable demeanor with attention to detail and a well-maintained office environment.
- Structured work approach and organizational skills, adhering to processes while remaining flexible and solution-oriented.
- High degree of responsibility, reliability, teamwork, and diligence.
- Good MS Office skills (Outlook, Word, Excel, PowerPoint).
- Affinity for digital tools and basic technical understanding.
- Very good German and good English language skills.
