About the Role
The Convention Services Manager is responsible for coordinating meetings, conventions, and special events, synchronizing client needs with hotel staff to ensure effective event execution. The role requires a passion for building and motivating teams, a guest-focused approach, and achievement-oriented leadership.
Responsibilities
- Negotiate food and beverage prices, function space, and hotel services.
- Confirm group requirements in writing to clients and hotel departments.
- Assist clients with menu planning, coordination, and event logistics.
- Work with sales staff to service and solicit new business.
- Up-sell client events and manage function space and room block inventory.
- Facilitate services agreed upon by the sales office and clients.
- Report and communicate event needs between the client and hotel.
- Prepare and distribute amenity request forms and follow up on delivery.
- Check function room set ups prior to guest arrival and ensure client requirements are met.
- Welcome group contacts upon arrival and ensure guest satisfaction.
- Monitor and ensure all functions are set up, refreshed, and broken down on schedule.
- Execute and distribute Banquet Event Orders (BEO) and contracts.
- Conduct hotel and banquet facility tours and entertain qualified clients.
- Follow up with clients to ensure satisfaction and secure future bookings.
- Promote teamwork and quality service through interdepartmental communication.
- Interact with outside contacts such as guests, airlines, wholesalers, and corporate accounts.
- Perform other duties as assigned.
Requirements
- 2 years of hotel-related sales experience required.
- Hotel events, sales, and/or conference services experience preferred.
- 1 year of catering sales experience in a 4-Diamond hotel with 8,000+ sqft of function space preferred.
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Excellent organizational skills and attention to detail.
- Strong analytical and problem-solving skills.
- Ability to prioritize and organize work assignments.
- Delphi FDC and Opera PMS experience a plus.
- Proficient with Microsoft Office Suite or related software.
- Must be able to work in a fast-paced environment.
- Ability to carry, lift or pull items weighing up to 50lbs and pushing and / or pulling approximately 200lbs.
- Frequently standing, bending, climbing, kneeling, and moving about the hotel.
