About the Role

The Front Desk Associate role is an opportunity for the right candidate to engage with families, providing a welcoming, first-class experience. This role requires a responsible, dynamic individual to manage administrative tasks for the medical team, aligning with the company's mission, vision, values, and culture.

Responsibilities

  • Greets families professionally both in person and on the phone.
  • Answers patient/family questions and seeks clarification when needed.
  • Accesses empathy and active listening in difficult interpersonal situations.
  • Supports patient care quality initiatives.
  • Coordinates escalations and urgent issues for timely resolutions.
  • Collaborates with site leadership to manage complex patient issues.
  • Employs Core values to help patients, families, and team members navigate systems.
  • Monitors and manages patient flow, assisting families with self-registration.
  • Stays current on workflows, responsibilities, and technology through distributed education.
  • Registers all patients, maintaining accurate and complete patient accounts with demographics, insurance, and financial information while maintaining HIPAA compliance.
  • Manages and acts upon all incoming patient documents, mail, and correspondence.
  • Maintains confidentiality and privacy of all patient accounts and adheres to HIPAA guidelines.
  • Performs opening and closing duties including organizing, stocking, sanitizing, and reconciling.
  • Executes other duties as assigned.

Requirements

  • Ability to work a minimum of two full 14-hour shifts per week, including at least one weekend day.
  • Ability to work flexible work schedules based on office needs.
  • Ability to travel to another site within reason.
  • Ability to calculate simple figures.
  • Ability to navigate multiple computer systems.
  • Prior experience in a healthcare environment and knowledge of medical insurance preferred.
  • Prior Front Desk, concierge, customer service or other hospitality experience preferred.
  • Socially perceptive and ability to relate to children and how they interact with their families.
  • Comfortability with routinely shifting demands.
