About the Role
The Project Coordinator provides essential customer service and administrative support to the company by coordinating meetings, maintaining records, assisting field personnel, and handling phone coverage. This role supports various processes and managers to achieve company goals and contributes to organizational success through strong service, communication, and follow-through.
Responsibilities
- Answer incoming calls and route calls and messages to the correct department or individual.
- Handle incoming mail and manage outgoing mail and packages.
- Maintain inventory and order office supplies.
- Perform copying, scanning, and filing of documents.
- Open work authorizations and assist with internal requisition entries.
- Support the organization of meetings, branch events, customer events, safety meetings, and company functions.
- Facilitate communication between office staff, Project Managers, field employees, vendors, and customers.
- Develop and maintain relationships with customers, ensuring high-quality service.
- Work collaboratively across departments to support smooth daily operations and special projects.
- Maintain a personal and professional development plan.
- Promote a positive, solution-oriented work environment by communicating clearly, sharing ideas, and contributing to process improvements.
- Support employee engagement efforts.
- Pre-plan and identify methods to eliminate hazards daily by work task.
- Observe habits and hazards of others and bring them to their attention.
- Uphold safety as the most important goal of the company and support the goal of achieving zero accidents.
- Promote and encourage open communication between field and office regarding all safety concerns, suggestions, improvements, and PPE needed.
- Obtain safety training as expected by all company personnel.
- Track safety documentation.
Requirements
- High School Diploma (or equivalent) required.
- Prior customer service experience in an office environment required.
Skills
- Positive safety attitude and personal integrity.
- Proficiency with Microsoft Office Suite (including Excel, Word, Outlook, and Teams).
- Excellent customer service orientation.
- Strong communication skills, both verbal and written.
- Strong interpersonal skills; ability to interact with all levels of the company and customers.
- Ability to see details and recognize errors, working within precise standards of accuracy.
Education Level
- Higher education preferred.
