About the Role
Samba is a media intelligence company that provides brands with a comprehensive picture of consumer attention. We are seeking a full-time Workplace Experience Coordinator based in New York to manage our New York office and support operations across US offices, primarily Chicago. This role is crucial for creating a welcoming and efficient environment, managing the physical office space, supporting daily operations, and collaborating with the global workplace team.
Responsibilities
- Oversee the New York and Chicago offices with the SF manager.
- Serve as the primary contact for general office support, liaising with building management on facilities.
- Submit and track tickets for repairs, desk setups, and space improvements.
- Conduct regular space audits, restock pantry supplies daily, and order supplies weekly.
- Coordinate internal moves, desk resets, and setup tasks.
- Assist with basic IT troubleshooting and conference room technology.
- Maintain a safe, secure, and well-functioning work environment.
- Monitor visitor access and coordinate security lists.
- Greet visitors and ensure they are comfortable.
- Potentially travel to support other office locations.
- Ensure compliance with health and safety legislation and maintain records.
- Support environmental and EHS initiatives.
- Maintain and update emergency procedures.
- Control incoming and outgoing mail and packages.
- Manage vendor relationships and ensure service quality.
- Maintain confidentiality and support data protection.
- Ensure compliance with local employment regulations.
- Partner with management and Finance to manage office costs and budgets.
- Research local vendors and support contract negotiations.
- Process invoices and payments.
- Oversee procurement and inventory of office supplies and swag.
- Act as an in-office point of contact for new joiners regarding office-related questions.
- Send welcome emails with office details to new hires.
- Support onboarding and offboarding logistics for local employees.
- Manage device distribution and inventory.
- Coordinate and support onsite and offsite employee events.
- Develop and uphold workplace standards and protocols.
- Foster a positive and collaborative office culture.
- Gather and analyze employee feedback to improve operations.
- Serve as a resource for employee inquiries.
- Facilitate internal communications regarding events and office updates.
- Coordinate recurring lunch deliveries and manage logistics.
- Provide regional coverage for global teammates.
- Participate in global projects like workplace surveys.
- Coordinate across time zones with international teams.
Requirements
- Minimum 3, preferably 5+ years of office operations experience.
- Familiarity with Google Workspace (Docs, Sheets, Calendar, Gmail).
- Slack experience is a plus.
- Comfortable managing multi-step projects from planning to completion.
- Confident managing vendors and performing light tech troubleshooting.
- Adaptable to shifting priorities.
- Passionate about fostering culture and community.
- Comfortable using and learning internal systems and engagement tools.
