About the Role

The Coordinator, Examination Accommodation and Delivery is responsible for delivering specialized services to candidates requiring accommodation for licensing examinations based on Human Rights Code grounds. This role involves administering the Law Society’s lawyer and paralegal licensing examinations, managing sensitive candidate interactions, and ensuring the security, accuracy, and confidentiality of examination materials and records.

Responsibilities

  • Review and approve examination accommodation requests and prepare accommodation plans.
  • Coordinate examination delivery and participate in the validation of examination documents and results.
  • Specialize in an area of examination delivery (paralegal or lawyer licensing examinations).
  • Plan, staff, and manage business operations for examination delivery, including venue selection and contracting.
  • Provide training and supervision to support personnel.
  • Manage and assess confidential candidate applications for accommodation and ensure proper disposal of files.
  • Provide integrated support to candidates, interpret documents, develop accommodation plans, and offer ongoing communication.
  • Plan, manage, and allocate resources for custom examination sittings.
  • Liaise with counsel and Team Lead on accommodation decisions, provide briefings, and escalate requests.
  • Maintain and allocate an inventory of assistive materials, devices, and examination supplies.
  • Compile candidate accommodation data for statistical reporting.
  • Ensure the secure, equitable, and consistent administration of examinations.
  • Coordinate schedules and contracts venues and services for secure licensing examination events.
  • Monitor candidate registration numbers and proctor roster changes, modifying contracts and reallocating resources as needed.
  • Liaise with venue personnel to ensure emergency responsiveness and facility arrangements.
  • Respond to candidate inquiries, concerns, and emergencies during examination sittings.
  • Prepare and verify site incident reports, examination logs, and aggregate feedback.
  • Direct all examination sitting activities, including candidate registration and security processes.
  • Supervise contract personnel and provide direction to Lead Proctors at remote sites.
  • Ensure the validity, secure maintenance, and transfer of candidate materials and records.
  • Participate in the manual validation of scoring.
  • Contribute to the effective and integrated delivery of examination services.
  • Ensure consistency of services across all examination sittings/locations.
  • Maintain responsibility for specific service areas while expanding knowledge of others.
  • Stay informed about examination schedules, reports, candidate requirements, and staffing lists.
  • Respond to inquiries from candidates, licensees, and the public regarding examinations.
  • Assist the Team Lead in developing and operationalizing policies and protocols.
  • Liaise with internal staff and external service providers regarding various operational aspects.
  • Recruit, select, and supervise Lead Proctors and other proctors.
  • Maintain proctor records and schedule proctors.
  • Develop training materials and deliver training sessions for proctors and support staff.
  • Prepare administrative materials for candidate services and examination delivery.
  • Maintain EA content on the LSO website.
  • Monitor examination expenses, modify cost projections, and calculate/verify payments for services.

Requirements

  • Minimum of a college diploma in a related field.
  • Computer proficiency in Microsoft Office, CRM, email, internet, and various hardware setups.
  • Verbal fluency in English.
  • Minimum of 5 years of experience in an event-delivery, customer-service, or administrative role within an education, regulatory, or medical environment, or the equivalent.
  • Ability to use initiative and work independently, and as part of a team.
  • Proven administrative and project management skills, preferably in a client-focused environment.
  • Demonstrated ability in planning and delivering client-focused administrative services and large-scale, secure events in a regulatory, academic, or medical environment.
  • Knowledge of the Law Society’s mandate, services, organizational structure, rules, regulations, relevant legislation and policies pertaining to lawyer and paralegal licensing processes.
  • Demonstrated ability to recruit, train, and provide leadership to support personnel.
  • Ability to negotiate and administer contracts for goods and services.
  • Demonstrated ability to speak and write expressively and persuasively.
  • Ability to create, edit, and validate candidate records and examination documents on LSO CRM and third-party software applications.
  • Demonstrated people skills and ability to creatively resolve problems in high-stakes situations.
  • Ability to coordinate and provide front-line services and communications to licensing candidates, licensee SMEs, and contract professionals.
  • Demonstrated ability to reason through written and spoken information, including processing a high volume of accommodation requests and supporting medical documentation.
  • Demonstrated ability to prioritize within sophisticated work schedules in a fast-paced environment.
  • Knowledge of relevant legislation, policies, and regulations concerning equity-seeking groups.
  • Demonstrated knowledge and experience with Microsoft Office, CRM, email, internet, and various hardware setups.
  • Demonstrated knowledge and experience with database systems and handling secure data on multiple platforms.
  • Familiarity with trends and developments in candidate success programming, including technology-supported testing and accommodations.
  • Fluency in French is considered an asset.
