About the Role
The YMCA Summer Work Student Exchange is a national program offering youth opportunities for personal development, second language improvement, and valuable employment experience. Participants are Canadian youth aged 16 or 17 who exchange with another community in Canada for 6 weeks during the summer, living with a host family and gaining intensive cultural and language immersion.
Responsibilities
- Plan, arrange, and oversee coordination of travel arrangements for program participants and chaperones.
- Manage the travel budget in coordination with the Manager.
- Provide administrative leadership, including overseeing expense claims, documentation processes, database maintenance, HR information systems, and program supplies.
- Lead staff training and support the development of training tools for summer staff, employers, and participants related to travel and administration.
- Collaborate with the national team in various program areas.
- Develop tools and support staff training to ensure effective high-quality program delivery.
- Coordinate and arrange participant and chaperone travel and logistics with travel providers, managing the travel budget with a focus on safety and efficiency.
- Hire, orient, train, and support Administrative Coordinators for national and regional support.
- Ensure timely and accurate submission of invoices and expense forms, and oversee payments and reimbursements.
- Manage the program database and documentation processes for staff, participants, and employers.
- Troubleshoot and problem-solve issues as they arise, keeping the Manager informed.
- Collaborate with HR and Payroll staff for accurate hiring and payment, and address payroll issues promptly.
- Perform other duties as assigned.
Requirements
- Knowledge and ability to integrate anti-racist, anti-oppressive, 2SLGBTQ-positive, critical disability, harm reduction, and strengths-based principles into practice.
- University Degree preferred or completion of Community College Diploma in Logistics, Administration, Business, Human Resources Management, or related fields.
- A minimum of 3 years in administrative work experience.
- Ability to communicate fluently in both French and English.
- Highly developed technical skills, including strong familiarity with Microsoft 365 software and ability to learn new e-platforms.
- Highly organized with experience managing large amounts of data in a fast-paced work environment.
- Previous experience training staff and developing training materials.
- Previous experience in a leadership role, working with post-secondary students.
- Well-developed interpersonal and relationship-building skills; ability to establish rapport and excellent communication with participants, staff, and volunteers; excellent written communication skills.
- Flexibility to travel within Canada several times per year.
