About the Role
Langan is seeking an Administrative Assistant to provide essential administrative support to the Syracuse, NY office, partnering with leadership to drive operational success.
Responsibilities
- Manage satellite office operations and coordinate with building/coworking-space management.
- Administer building and visitor access.
- Manage office supply and PPE inventory and ordering.
- Coordinate new-hire onboarding logistics, including workspace, parking, and access setup.
- Arrange conference room, catering, and hospitality for meetings and interviews.
- Support business development by tracking networking events, conferences, and client-development activities.
- Oversee general office stewardship and maintain a professional workplace environment.
- Schedule and coordinate meetings, events, interviews, annual performance reviews, and appointments.
- Arrange complex and detailed travel plans and itineraries.
- Maintain individual, project, and/or group calendars and assist office management with daily priorities.
- Retrieve and distribute phone messages and assist callers with inquiries.
- Provide administrative support with filing, photocopying, scanning, and faxing.
- Compose timely responses to written inquiries and distribute mailings.
- Compose and edit plans, specifications, reports, memorandums, and correspondence.
- Prepare printed reports and other duplicated materials.
- Maintain corporate contact lists, Outlook contacts, files, databases, records, and other documents.
- Create, edit, and/or format PowerPoint presentations, technical reports, and proposals.
- Assist with timely submission of employee timesheets and expense reports.
- Act as back-up for office services, IT, Marketing, and HR for coverage when needed.
- Perform other duties as requested.
Requirements
- High School degree required.
- Ability to maintain confidentiality.
- Strong sense of initiative and flexibility.
- Excellent communication and interpersonal skills.
- Strong attention to detail with excellent analytical, multitasking, organizational, and judgment capabilities.
