Seeking a patient-focused Patient Services Representative for a Medical Oncology, Hematology clinic in Jamestown, NY. Responsibilities

  • Serve as the first point of contact for patients, providing customer service and administrative support.
  • Coordinate communication between patients and healthcare staff.
  • Welcome patients and visitors.
  • Answer routine inquiries.
  • Screen and direct calls.
  • Schedule appointments.
  • Maintain patient records.
  • Verify insurance eligibility and benefits.
  • Collect copays and outstanding patient balances.
  • Assist patients with portal enrollment.
  • Perform general clerical and administrative functions.
  • Greet and welcome patients and visitors in person and over the phone.
  • Announce patients and visitors with sensitivity.
  • Interact respectfully and cooperatively with coworkers.
  • Assist nurses, physicians, and other staff with administrative support.
  • Respond accurately and efficiently to tasks from providers and staff.
  • Open and close the patient waiting room.
  • Adhere to office policies, procedures, and regulations.
  • Register patients using EMR.
  • Coordinate and prepare patient appointments and itineraries.
  • Check insurance eligibility and verification for every patient.
  • Collect and scan insurance and other required documents.
  • Check reports for coverage and proper co-pay collection.
  • Confirm insurance eligibility and verification prior to scheduling new patient appointments.
  • Perform new patient intake including entry into EMR.
  • Verify and update patient demographic and insurance details at each visit.
  • Collect and copy/scan identification and insurance cards.
  • Scan relevant patient information into the EMR.
  • Enter data from source documents into the computer.
  • Retrieve patient records, test results, and/or charts from outside sources.
  • Prepare paperwork and patient records.
  • Collect co-pays and past due balances, process payments, and issue receipts.
  • Handle insurance inquiries.
  • Optimize provider schedules by efficiently scheduling and confirming appointments.
  • Answer phones, take messages, and make appointments.
  • Reschedule cancellations.
  • Monitor voicemails and return calls.
  • Answer patient inquiries and provide general information.
  • Help patients complete medical forms and guide them on next steps.
  • Ensure patient privacy and confidentiality following HIPAA regulations.
  • Invite patients to join the patient portal with proper paperwork and education.
  • Manage patient check-out.
  • Act as a liaison between patients and healthcare providers.
  • Maintain office inventory and equipment, including ordering supplies.
  • Maintain cleanliness and organization of the reception area.
  • Create and mail patient letters.
  • Provide assistance to patients and family members.
  • Backup for Medical Records.
  • Duplicate and distribute photocopies.
  • Assist in training other staff members.
  • Assist other departments with administrative duties.
  • Prepare written documentation for required records, reports, and statistics.
  • Update HealtheLink.
  • Enhance professional growth and development.
  • Perform other related duties as assigned or requested.

Requirements

  • High School diploma or G.E.D. and the equivalent of one (1) year of full-time clinical or administrative health care experience.
  • One (1) year customer service experience in an office, preferably with patients.
  • Experience working in Windows and with MS Office software.
