About the Role
Provide high-level support to the Executive Director on a 12-month fixed-term contract. This role requires exceptional organisational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment.
Responsibilities
- Proactively manage administrative activities to ensure the leadership team receives effective and efficient support.
- Manage executive priorities across multiple workstreams and proactively identify, coordinate and resolve competing demands.
- Ensure tasks are carried out professionally, effectively and efficiently, and in accordance with company standards, policies and guidelines.
- Act as a representative of the leadership team and ensure professional conduct when communicating internally and externally.
- Collaborate strategically with the leadership team to ensure support activities are aligned with organisational goals and priorities.
- Prepare executive summaries, briefing notes, presentations and other materials to support decision-making and communication.
- Support leadership activities through information gathering, coordination and preparation of materials relating to budget management, business planning and resource planning.
- Ensure an appropriate level of personal presentation is maintained for the professional environment.
- Maintain and control the filing of documents and data associated with the role.
- Comply with all RBG Health & Safety (H&S) policies and procedures.
Requirements
- Previous experience working in a senior administrative role within a professional office environment.
- Excellent verbal and written communication skills.
- Intermediate to advanced skills in using the Microsoft Office suite, as well as publishing and creative software.
- Strong organisational and time-management skills, with the ability to adapt to the needs of the business when required.
- Strong attention to detail, accuracy and problem-solving skills.
- Excellent interpersonal skills and the ability to work effectively in a diverse environment.
- Ability to demonstrate initiative.
- Ability to work autonomously, take direction and work as part of a team.
- Intermediate to advanced computer skills and digital literacy.
- Ability to work well under pressure, adapt to shifting priorities and manage multiple tasks simultaneously while maintaining high-quality outcomes.

- Experience supporting senior executives in a fast-paced professional environment.
