About the Role
The AI Coordinator is a hands-on execution role within the AI Team, responsible for tracking initiatives, delivering training, driving adoption, and serving as the primary contact for AI-related inquiries across the business.
Responsibilities
- Own the day-to-day tracking of AI initiatives across five delivery pipelines.
- Maintain the initiative board and identify stalling items.
- Triage incoming business requests and assign owners and priorities.
- Escalate decisions to the AI Lead to prevent blockers.
- Build and deliver the AI 101 curriculum and develop additional training content.
- Manage the weekly AI Newsletter, curating updates on tools, policy changes, and best practices.
- Track skills audit data and contribute to the training roadmap.
- Support the AI adoption campaign by running review days and creating content.
- Identify underutilizing teams and assist them in starting AI tool adoption.
- Coordinate with sector leads and Head Office departments for communication.
- Maintain the repository of approved AI tools and best practices.
- Support market scanning by tracking and summarizing new tools.
- Onboard vetted tools by writing access guides and communicating changes.
- Serve as the first point of contact for staff questions regarding AI tool usage.
- Manage the AI request triage process, apply policy, and communicate outcomes.
- Maintain financial tracking for AI initiatives and contribute to Steering Group reporting.
- Support day-in-the-life studies and the AI skills audit by collecting and summarizing findings.
- Assist project teams applying AI on active client work within data policy.
Requirements
- University degree in Computer Science, Engineering, Data Science, Business or related discipline.
- 2–3 years of experience in a coordination, program/project support, operations, or similar execution-focused role.
- Hands-on familiarity with everyday AI tools (e.g., ChatGPT, Copilot, Claude).
- Genuine curiosity about AI adoption in a business setting.
- Comfortable working with data in spreadsheets, including organizing, cleaning, and summarizing information.
- Strong written communication skills for producing guides, newsletters, and training materials for a non-technical audience.
- Experience building clear, well-organized slide decks (PowerPoint or similar).
- Highly organized, proactive, and comfortable being a point person for questions.
- Confident presenting to and communicating with people at all levels, including senior stakeholders.
