About the Role

Rockefeller Global Family Office is seeking a motivated individual to join a Private Advisor team as a Senior Administrative Assistant. This role involves working with team members and interacting directly with high-net-worth clients to ensure a positive client experience. The ideal candidate is thorough, detail-oriented, and possesses strong communication, organization, time management, and problem-solving skills.

Responsibilities

  • Manage calendars and phone lines by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Interact with clients by answering phones, e-mails, and coordinating meetings professionally.
  • Welcome guests and new hires, and direct inquiries.
  • Manage office space, prepare for new hires, manage supplies, and handle onsite issues.
  • Work with supporting staff to prepare client presentations and other materials for meetings.
  • Submit the team’s monthly Travel and Expense report via Concur.
  • Create, maintain, and archive documents in an organized filing system.
  • Compile and update the contact database.
  • Complete special projects as assigned.
  • Maintain confidentiality, trust, and support at all times.

Requirements

  • 3-5 years prior work experience, preferably at a financial services firm with Administrative or Executive support experience.
  • BA/BS degree.
