About the Role
This entry-level role supports the Logistics and Purchasing team with the day-to-day coordination of purchase orders and basic stock administration. You will maintain purchasing data accuracy in systems like SAP, Sage, and Excel, and assist with simple analysis and reports to control costs and ensure material availability.
Responsibilities
- Raise and receipt purchase orders for stock and non-stock items.
- Verify and update quantities, prices, and coding on purchase orders.
- Track order status and follow up on late or unclear items.
- Support Capex project purchasing by creating POs and ensuring documentation is complete.
- Enter and update purchasing and stock information in ERP systems.
- Create and update product/material codes, descriptions, and supplier records.
- Maintain up-to-date basic data such as prices, lead times, and stock locations.
- Identify and report system issues or data errors for resolution.
- Extract data from ERP systems and Excel for reports on spend, stock, and supplier performance.
- Maintain and update regular reports using provided templates.
- Use Excel for data cleaning, organization, and highlighting issues or trends.
- Support Purchasing and Finance with data for budgeting, forecasting, and month-end tasks.
- Adhere to company purchasing and approval procedures.
- Assist with audits by providing requested documents and system information.
- Suggest improvements to spreadsheets, reports, or work methods.
- Help maintain step-by-step guides for purchasing and system tasks.
- Collaborate with Purchasing Manager, Purchasing Coordinator, Logistics, and Finance teams.
- Communicate clearly with colleagues and suppliers regarding order details and queries.
- Ask questions when unsure and be open to learning from experienced team members.
- Support a "One Team" culture by helping others and sharing information.
Requirements
- Comfortable working with numbers and basic data.
- Good Excel skills, including filters, sorting, basic formulas, and willingness to learn pivot tables and lookups.
- Basic understanding or interest in ERP systems (e.g., SAP, Sage) and their use in purchasing and stock control.
- High attention to detail and a careful, accurate approach to data entry and documentation.
- Organized and able to manage multiple simple tasks concurrently while meeting deadlines.
- Clear communicator, both written and verbal, with a helpful and professional manner.
- Positive attitude, willingness to learn, follow processes, and accept feedback.
- Some experience in an office, administration, finance, purchasing, or logistics environment is helpful but not essential.
- Familiarity with Excel and basic data handling is desirable; training will be provided.
- Exposure to ERP systems (e.g., SAP, Sage) is an advantage but not required; full training will be given.
- A genuine interest in purchasing, data, and learning how ERP systems support the business is important.
