About the Role

We are looking for a Payroll Coordinator in our Toronto, Ontario Branch that is responsible for processing weekly payroll for both union and non-union employees.

Responsibilities

  • Process full cycle weekly payroll run up to 100+ employees, accurately and timely for non-union and union employees, using Payworks
  • Onboard new union and non-union hires, using Payworks, Jonas, and other systems as needed
  • Input, audit, and process payroll with varying complexities
  • Update payroll and timekeeping systems with all pertinent information for new employee set-ups, employment status changes, personal information changes, and payroll deduction changes
  • Prepare payroll, ensure accuracy of hours, wage rates, union dues and time off calculations
  • Set up source deductions – employee garnishments, taxable benefits, etc.
  • Coordinate all incoming payroll data to the appropriate pay period
  • Ensure compliance with policies, tax regulations and deduction laws
  • Balance payroll input and submit the completed payroll to Payworks
  • Respond to payroll inquiries from employees, colleagues, stakeholders and CRA and initiate action to correct errors and omissions
  • Interact, communicate and resolve inquiries with external labour partners
  • Administer deductions/remittances for court/government mandated garnishments
  • Prepare monthly, quarterly and annual compliance filings and remittances (i.e. union reporting, workers' compensation, source deductions, provincial payroll/health taxes, Statistics Canada reports, etc.) by due dates
  • Work closely with HR department in supporting employee requests and inquiries
  • Handle confidential employee and compensation information with discretion, in accordance with privacy legislation and Company policy
  • Prepare weekly payroll reconciliation reports
  • Enter time sheets as needed
  • Calculate employee travel expenses as per union agreements
  • Ad-hoc reporting as required for various departments
  • Apply knowledge of relevant CBA, legislative changes to various payroll related activities to ensure all newly implemented changes are compliant (Union ratifications)
  • Create the Journal Entries after each weekly pay run
  • Investigate, analyze, and resolve system problems
  • Year-end reconciliation and annual T4 filings
  • Maintain payroll records and supporting documentation in accordance with retention requirements, and provide payroll documentation and reconciliations to support internal and external audits
  • Administration of general payroll related matters
  • Other duties as assigned

Requirements

  • 2+ years of experience using a computerized payroll system
  • Experience in processing Union payroll is required
  • Payroll Compliance Professional (PCP) designation through the National Payroll Institute, or active progress toward it, is considered an asset
