About the Role

The Receptionist provides administrative support for Workforce Solutions centers, assisting team members with advanced clerical and administrative tasks.

Responsibilities

  • Maintains general secretarial support functions for the center.
  • Organizes and prioritizes large volumes of information and calls.
  • Sorts and distributes mail.
  • Drafts written responses or replies by phone or e-mail.
  • Proofreads all communications for accuracy and clarity.
  • Ensures equipment and facilities are in appropriate working condition.
  • Serves as the primary point of contact for equipment and facility work orders.
  • Manages center logistics, including room reservations.
  • Ensures the career center is always "tour ready."
  • Provides clerical support to in-house departments, including filing and mail-outs.
  • May be responsible for running center reports (e.g., TWIST reports).
  • Retrieves information from files.
  • Serves as backup to the telephone switchboard.
  • Takes messages and fields/answers routine and non-routine questions.
  • Provides backup coverage for the center by offering customer solutions and employment services.
  • Acts as a liaison with other departments and outside agencies.
  • Handles confidential and non-routine information.
  • Explains policies when necessary.
  • May be responsible for financial items, including collecting payments and data entry.
  • Maintains record-keeping requirements (e.g., TWIST, G drive).
  • Performs other duties as assigned and fulfills responsibilities as required.

Requirements

  • Strong organization skills, attention to detail, thoroughness, and accuracy.
  • Proficient using multiple communication platforms including online resources and tracking tools, web integration technology, project management and Microsoft Office Suites applications.
  • Excellent verbal and written communication skills.
  • Knowledge of professional writing, editing and grammar skills.
  • Ability to develop and maintain effective working relationships with management, coworkers, Board staff, and the general public.
  • Lifting to 10 pounds occasionally.
  • Subject to standing, sitting, bending, and walking.
  • Requires visual acuity, speech, and hearing.
  • Occasional driving and travel required.
  • Flexible hours may be required.
