About the Role
This role is central to building IQM Japan, ensuring day-to-day operations run smoothly and establishing solid administrative foundations. You will work closely with the Country Manager to grow IQM's presence in Japan, acting as a bridge between local operations and global teams.
Responsibilities
- Act as the link between Japan and HQ, moving information, documents, approvals, and reporting.
- Translate between Japanese and English as needed.
- Ensure global policies and procedures are implemented in the Japan office.
- Manage the administration for Japan's government-funded work, including documentation, reporting, and deadlines for NEDO and other programs.
- Keep records audit-ready and ensure all grant obligations are met.
- Manage vendors, landlords, and service providers.
- Handle onboarding logistics for new hires and visitors.
- Organize travel, meetings, and local events.
- Process invoices, purchase requests, and expenses.
- Coordinate with vendors and track contracts, purchase orders, and spend.
- Support budget tracking and reporting.
- Organize corporate, legal, operational, and grant documentation.
- Ensure compliance with company policy and Japanese regulatory requirements.
- Document local office operational procedures.
- Identify opportunities to standardize or automate processes.
- Set up new administrative processes and take on special projects.
Requirements
- Hands-on experience with NEDO administrative work, including accounting, financial compliance, audit preparation, document and reporting management, and communication/stakeholder coordination.
- Expert-level proficiency in Excel, Word, and PowerPoint.
- Fluent Japanese and English, with experience translating business documents between both languages.
- Working knowledge of legal and finance basics.
- Organized and precise.
- Comfortable owning deadlines and audit-ready records.
- Willingness to build processes from a blank page.
- A relevant degree is welcome but not required; equivalent experience counts.
