About the Role

As Sales and Allocations Officer at London Egg Bank, you will manage the end-to-end process of donor egg sales and allocations, including order processing, donor matching, and coordinating egg transportation. You will be the key point of contact for patients and partner clinics, ensuring an outstanding experience. This role requires exceptional attention to detail, strong time management, a passion for patient care, and the drive to meet targets.

Responsibilities

  • Manage all donor egg orders for fresh and frozen eggs, ensuring responses within one working day and compliance with SOPs and terms.
  • Allocate donor eggs to recipients and manage available stock, maintaining accurate donor and patient matching records.
  • Witness donor profiles before publication and work towards team targets for weekly uploads, ensuring all required paperwork is in place.
  • Coordinate the transportation of frozen donor eggs from LEB to partner fertility centres, working closely with external clinics and courier services.
  • Manage family slots, live birth counts, and donor outcome requests in collaboration with embryology and nursing teams.
  • Handle sales inquiries and customer service communications via telephone, email, and live chat promptly and professionally.
  • Assist patients with donor egg selection, provide accurate pricing and success rate information, and support patient conversion and retention targets.
  • Maintain accurate records across systems.
  • Collaborate with clinical, nursing, medical, and marketing teams to recruit patients across the JD Healthcare Group.
  • Participate in recruitment events, seminars, and webinars, and contribute ideas to improve the patient journey and service delivery.

Requirements

  • Strong customer service skills with a warm, empathetic, and patient-centred approach.
  • Excellent organisational and time management skills with the ability to manage multiple priorities accurately and efficiently.
  • Good understanding of confidentiality requirements and the sensitivity required when handling patient and donor information.
  • Computer literate in Microsoft Office (Word, Excel, Outlook).
  • Proactive, detail-oriented, and comfortable working towards individual and team targets.
  • Knowledge of HFEA legislation and the Human Fertilisation and Embryology Authority Act and Code of Practice (Desirable).
  • Awareness of social media tools for patient recruitment (Desirable).
  • Experience using Salesforce or similar CRM platforms (Desirable).
  • Basic Life Support (BLS) certification (Desirable).
