About the Role

This role provides high-level administrative and operational support to the Asset Services Operations Team, ensuring smooth day-to-day operations across a large regional portfolio. The Business Operations Specialist 2 partners closely with the Operations Director, Manager City Lead, and on-site Property Management teams to coordinate key operational processes, support approximately 500 employees across 100 sites, and help the region achieve planned growth and revenue goals. The position focuses on operational compliance, technology and systems onboarding, communication support, and continuous improvement of administrative workflows.

Responsibilities

  • Support the Operations Director, Manager City Lead, and Regional Lead in coordinating operations for the midtown market and broader regional portfolio.
  • Assist in ensuring the region operates smoothly to achieve planned growth and maximize revenue goals.
  • Coordinate and track operational compliance requirements, including Certificates of Insurance (COIs), management agreements, real estate taxes, and other property-related documentation.
  • Monitor the completion of budgets, reporting deliverables, and operational checklists to ensure all deadlines are met.
  • Manage and coordinate employee onboarding activities, including arranging technology system access, licenses, and equipment requests.
  • Serve as a primary resource for operational systems and tools by providing user support, training, troubleshooting, and escalating issues when necessary.
  • Maintain and administer team resources such as SharePoint sites, distribution lists, and internal documentation to ensure information remains current and accessible.
  • Support communication initiatives by preparing and distributing newsletters, announcements, training follow-ups, and operational updates.
  • Coordinate meetings and events, including scheduling, logistics, room reservations, and attendance tracking.
  • Partner with property management operations, IT, and corporate teams to resolve operational issues and streamline processes.
  • Assist with data management and reporting to improve visibility into operational performance across the regional portfolio.
  • Identify and support improvements in administrative workflows and processes to enhance efficiency and consistency.
  • Act as a highly responsive point of contact, delivering exceptional internal customer service and support to field teams.

Requirements

  • 2–4 years of experience in business operations, administrative support, or a similar role.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines effectively.
  • Excellent written, verbal, and interpersonal communication skills.
  • Proficiency in Microsoft Office Suite, including Teams, Outlook, Excel, and SharePoint.
  • Experience supporting business applications, user access management, and technology onboarding.
  • Detail-oriented, resourceful, and proactive approach to problem-solving.
  • Strong internal customer service skills with a focus on responsiveness and follow-through.
  • Ability to work independently while collaborating effectively across multiple teams and locations.
  • Technical proficiency with YARDI, BOTTOMLINE, and WORKDAY.
  • Experience working in a multi-site or regional operations environment.
  • Experience in supporting property management, asset services, or corporate operations teams.
  • Comfort with learning and supporting new operational systems and tools.
  • Ability to document processes, maintain internal resources, and contribute to continuous improvement initiatives.
