About the Role

The Museum of Modern Art is seeking an Accountant to manage all accounting aspects for the Special Events Department, including A/P, A/R, ticket sales, donor acknowledgements, alcohol cost accounting, internal reporting, and reconciliations.

Responsibilities

  • Administers all aspects of accounting for the Special Events Department, including A/P, A/R, and journal entries.
  • Sets up new vendors as needed.
  • Facilitates data entry and maintenance of the Salesforce database for the Special Events Department.
  • Develops and maintains revenue forecasting and runs weekly revenue reports.
  • Implements and monitors a system for expected expense tracking and identifies potential variances.
  • Processes incoming payments for Museum benefit and corporate events.
  • Oversees after-party ticket sales for Museum benefit events, including online sales and customer service.
  • Serves as the primary liaison between the Museum and Art Food for all beverage service operations.
  • Cross-trained to oversee beverage services in the vendor's absence.
  • Calculates alcohol consumption costs per event and submits monthly journal entries.
  • Submits monthly New York State liquor tax estimates.
  • Processes alcohol delivery invoices.
  • Manages and tracks alcohol requests for various events.
  • Completes monthly reconciliations for events and reconciles the Special Events program for year-end close.
  • Files income and expense accruals for year-end close and books pledges.
  • Pulls weekly and monthly reports from Salesforce and other Museum systems.
  • Generates IRS-compliant receipts for Special Events donors.
  • Oversees all departmental budgets and Museum events and programs.
  • Manages annual budget creation process with Special Events and Finance teams.
  • Prepares annual schedules for Accounting and year-end reports for audit and tax forms.
  • Creates alcohol and rental invoices for corporate clients and internal reimbursement invoices.
  • Reconciles credit card charges for department Navan accounts.
  • Performs any other duties reasonably related to the functions described above.

Requirements

  • Bachelor's degree in accounting.
  • Three to five years of experience in financial and/or accounting management, preferably with fundraising and events.
  • Salesforce experience is preferred.
  • Proficiency in Microsoft Excel, including the ability to create and manage budgets, financial reports, pivot tables, lookup functions, formulas, and data analysis.
  • Superior quantitative and communication skills.
  • Ability to work independently against strict deadlines.
  • Ability to work with a wide variety of individuals in technical as well as functional roles.
  • Must pass a criminal background check due to PCI DSS scope.
