About the Role
This role involves maintaining calendars, coordinating meetings, arranging travel, and managing expense reports for assigned staff. You will act as a subject matter expert on policies and procedures, manage phone calls, arrange meeting logistics, and maintain client contact information. Additionally, you will assist with technology requests, onboarding/offboarding processes, and prepare various documents and presentations.
Responsibilities
- Maintain outlook calendars and manage the coordination and logistics of internal and external meetings.
- Arrange and coordinate domestic and international travel agendas.
- Handle expense reports for assigned staff, assist with expense pre-approval, and ensure policy adherence.
- Act as a subject matter expert for the team regarding T&E and other policies.
- Manage phones, screen incoming calls, and determine priority.
- Arrange video conferences and meeting spaces.
- Manage client contact information in RBC’s CRM, assist with call reports and data entry.
- Assist with technology requests, supply orders, and miscellaneous queries.
- Assist with staff on-boarding and off-boarding, including equipment setup and system access.
- Create and edit spreadsheets and presentations for meetings.
- Prepare and submit invoices.
- Handle regular activities without prompting and advise in advance of issues or delays.
- Work cooperatively with team members to provide overall coverage and backup support.
- Maintain information flow to internal partners and stay updated on divisional activities.
- Lead and coordinate ad hoc projects as requested.
Requirements
- At least 3-5 years of administrative experience within the finance industry.
- Bachelor’s degree or equivalent.
- Ability to work in a dynamic, fast-paced environment.
- Ability to organize, prioritize, multi-task, and solve problems efficiently.
- High attention to detail.
- High degree of integrity and confidentiality.
- Able to learn new technology quickly and adapt functionality to departmental needs.
- Exhibits sound judgement and decision-making abilities.
- Ability to interact effectively and establish good working relationships with internal and external personnel.
- Self-starter with ability to work independently.
