About the Role
The Accommodation Manager is responsible for ensuring that every student is placed in safe, high-quality accommodation that meets EF standards. This is a hands-on operational leadership role combining sourcing, quality control, team management, and student/host relationship management. You will lead a small team while directly owning host family recruitment and retention, residence sourcing and quality, student placement and satisfaction, and emergency response and escalation. This role requires strong decision-making, speed, and ownership.
Responsibilities
- Recruit and retain high-quality host families across Tokyo
- Develop and execute strategies to meet bed capacity targets
- Forecast accommodation demand and ensure sufficient supply year-round
- Drive host family recruitment through local outreach and conversion
- Ensure all host families and residences meet EF quality and safety standards
- Conduct regular visits and quality checks
- Take ownership of student safety within EF accommodation
- Act quickly to resolve quality issues
- Ensure students are matched to suitable accommodation
- Handle student concerns and complaints related to accommodation
- Communicate directly with students in English when required
- Maintain strong relationships with host families and residence partners
- Act as a key escalation point for accommodation-related issues
- Handle emergencies (including out-of-hours situations)
- Manage conflict calmly and professionally
- Lead and develop a team of host family coordinators and residence coordinators
- Ensure clear task allocation, accountability, and follow-through
- Build a proactive, solution-oriented team culture
- Manage placements, records, and reporting through internal systems
- Ensure accuracy of accommodation data and payments
- Work efficiently with CRM-style systems and operational tools
Requirements
- Minimum 5+ years experience in operations, hospitality, customer service, or similar
- Experience leading and managing a team (essential)
- Experience in sales, sourcing, or relationship-driven roles is highly valued
- Experience managing multiple priorities in a fast-paced environment
