About the Role
The Director of Student Accounts is responsible for the efficient and effective organization and operation of all functions related to tuition and fee billing, collection, deposit, disbursement, and record maintenance. This role provides superior service to students, employees, and other customers, and establishes policies and procedures to ensure financial resources and operations are utilized prudently and in compliance with pertinent external financial regulations. The Director reports to the Chief Finance Officer and Senior Vice President of Finance and Administration.
Responsibilities
- Manage staff, including supervision, training, recruitment, selection, and performance management.
- Maintain accurate student account information and reconcile related data, including fees, dates, detail codes, accounts receivable, allowances, bad debt, and collections.
- Manage the financial aid refund process, including system management and refunds from dropped courses.
- Review and approve correction forms for student accounts and clerical reconciliations.
- Address and direct student inquiries and concerns.
- Oversee daily computer processes and feeds for student transactions.
- Manage third-party charges and authorizations, including processing fee waivers, posting exemptions, submitting payment requests, and communicating with stakeholders.
- Oversee the process for class enrollment purges for non-payment to ensure accurate class rolls.
- Ensure departmental compliance with rules, regulations, and policies for student transactions, fund deposits, and credit card machine usage; prepare documents for auditors.
- Assist with year-end financial statement preparation and prepare various financial reports.
- Update and ensure accuracy of Office of Student Accounts information in official documents like the catalog and website.
- Maintain confidentiality of information and comply with FERPA guidelines.
- Participate in the preparation and issuance of annual 1098T tax forms.
- Complete Departmental Continuous Improvement Plans in line with the College’s Strategic Plan, including implementing online billing/payment systems.
- Perform other duties as assigned.
Requirements
- Bachelor's degree with a major in accounting or related business degree.
- Five (5) years of experience in accounts receivable management, customer service, managing cashiering and online payment systems, and accounting.
- Demonstrated supervisory experience.
- Experience in higher education student accounts or governmental accounting/auditing is preferred.
- Ability to maintain confidentiality of records and information.
