About the Role

Responsible for the execution of training class logistics, including coordinating accommodations, travel, and events. This role also involves maintaining training facilities, managing supplies, and handling administrative duties to ensure a smooth and positive experience for all attendees.

Responsibilities

  • Execute training class logistics for all attendees.
  • Book customer accommodations, airfare, airport transportation, hotels, and meals.
  • Organize offsite events, including entertainment, group dinners, and transportation.
  • Set up training rooms with appropriate materials and maintain cleanliness.
  • Break down training rooms upon completion.
  • Maintain and stock kitchen supplies, including beverages and snacks.
  • Greet attendees upon arrival and facilitate the check-in process.
  • Handle administrative duties such as answering phones, scheduling maintenance, filing, and reporting.
  • Send out registration information and confirmations.
  • Act as a primary liaison between customers and the training department.
  • Coordinate hotel, flight, and airport transportation arrangements.
  • Communicate arrangements to employees and training attendees.
  • Secure tickets for training groups and arrange transportation to and from events.
  • Plan group dinners, make reservations, and arrange transportation.
  • Coordinate printing and set-up of all class materials.
  • Prepare necessary materials for each training class (tent cards, certificates, etc.).
  • Prepare training rooms for each class.
  • Distribute t-shirts and tooling to classroom attendees.
  • Order lunch for training groups.
  • Perform clean-up during breaks and after each session.
  • Order and restock snacks, beverages, and office supplies.
  • Maintain the upkeep of the facility throughout the day.
  • Ensure attendee sign-in upon arrival.
  • Handle incoming calls and inquiries, transfer calls, and take messages.
  • Perform general office work including reporting, filing, and expense reports.
  • Maintain tool inventory and tracking system.
  • Work with customers upon class completion to determine tool needs and order as necessary.
  • Organize, maintain, and replenish literature rack and training supplies.
  • Communicate attendee feedback, including scanning, distribution, and addressing comments.
  • Attend meetings as required.
  • Perform other duties as required.

Requirements

  • Associate’s Degree or equivalent.
  • 3-4 years of related experience in an administrative role.

Skills

  • Knowledge of computer programs including Microsoft Word, Excel, Outlook, PowerPoint, Access, Internet.
  • Knowledge of SAP.
  • Excellent verbal and written communication skills.
  • Ability to communicate with all levels of the organization.
  • Strong organizational and time management skills.
  • Excellent phone etiquette and customer service skills.
  • Ability to speak in front of a large group.
  • Ability to use discretion and good sound judgment.
  • Ability to work independently with minimal supervision.
  • Ability to perform with superior service, reflecting a positive company image.

Salary/Compensations

  • CAD $41,000 to $50,000 annually
