About the Role
As our Talent Operations and Workplace Coordinator, you will ensure the hiring process is seamless and the San Francisco office is a positive environment. This hands-on, in-person role involves coordinating hiring processes and managing office operations, with some support for the broader People Operations team. You will be in the San Francisco office two days a week, with flexibility to come in more as needed for interviews, meetings, or events. This role is ideal for someone who enjoys variety, can switch tasks quickly, and takes pride in operational excellence. Experience with AI tools for recruiting workflows is a plus.
Responsibilities
- Own end-to-end interview scheduling, managing calendars, communications, and candidate touchpoints.
- Coordinate and organize all interview logistics, including scheduling, confirmations, reschedules, and debrief meetings.
- Serve as the primary point of contact for candidates regarding their interview calendar.
- Monitor interviewer availability and proactively flag scheduling conflicts.
- Utilize Greenhouse ATS scheduling tools for automation.
- Maintain accurate candidate records and interview feedback in Greenhouse ATS.
- Support referral coordination and onboarding logistics.
- Ensure the office is tidy, stocked, and running smoothly.
- Manage vendor relationships and hold them to a high standard.
- Plan and execute in-office events, team lunches, and celebrations.
- Manage office access and badge distribution.
- Host guests, candidates, and visitors.
- Support space planning, furniture moves, and office improvement projects.
- Manage mail distribution.
- Track workplace spend, review invoices, and identify cost-saving opportunities.
- Support health, safety, and emergency preparedness for the office.
- Support onboarding and offboarding processes, including HR system workflows and background checks.
- Address People-related questions regarding onboarding, HR data, benefits, and employment verifications.
- Process employee changes in Rippling and coordinate with IT and Payroll.
- Provide backup support for time off and time & attendance tracking.
- Maintain and update People team documentation.
- Assist with People team projects as needed.
Requirements
- 1+ year of experience in office administration, hospitality, or recruiting/human resources.
- Recruiting support experience is highly valued.
- Proficiency in Google Suite and Microsoft Office.
- Experience with Recruiting ATS platforms and HRIS tools is a plus (e.g., Greenhouse, Rippling).
- High integrity and good judgment when handling sensitive information.
- Experience in a startup or fast-paced environment.
- Must be able to maintain work authorization for the duration of employment without employer sponsorship.
