About the Role

We are seeking a proactive and organized Administrative Assistant to provide comprehensive support to various departments. Responsibilities include a wide range of tasks including but not limited to ordering lunches, managing expenses, and assisting with travel logistics.

Responsibilities

  • Prepare and submit expense reports for department heads and team members.
  • Perform general clerical duties to support the efficient functioning of multiple departments.
  • Departmental Support with the organization and execution of departmental events, meetings, and conferences.
  • Coordinate and schedule meetings, appointments, and travel arrangements for department heads and team members across various departments.
  • Being able to thrive in a fast-paced setting and handle simultaneous demands from various directions is essential.
  • It may require some evenings and early morning, depending on meetings.

Requirements

  • At least 1-3 years of proven experience as an admin assistant or in a relevant role, preferably handling multiple departments.
  • Strong organizational and multitasking skills with the ability to prioritize tasks.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
  • DOBNOW knowledge a plus.
  • NYS Notary a plus but not required.
  • Ability to work independently and in a team environment.
