About the Role
The Admissions Manager supports the Admissions team with organization and administrative detail for the overall admissions administrative process, ensuring it runs smoothly. This role requires wearing many hats and embracing opportunities for growth in a dynamic, fast-paced, entrepreneurial organization. The manager will drive results through a tireless work ethic to enroll mission-aligned students into our world-class program.
Responsibilities
- Support the Associate Directors of Admissions with the end-to-end admissions process for families, from application submission through final decision.
- Guide families in completing application requirements, track and review application materials, and follow up on deadlines and outstanding items.
- Conduct comprehensive follow-up with individuals who have registered for and attended Information Sessions, Campus Tours, or other Admissions events, maintaining a log of all activity.
- Coordinate event logistics, including ordering refreshments, preparing materials (forms, admissions folders), and managing event setup and breakdown.
- Ensure a positive experience for prospective parents and students by providing excellent customer service and answering applicant questions.
- Handle all inquiries within capacity and direct inquiries outside capacity to appropriate team members.
- Compose correspondence and reports as required in support of the management team.
- Help coordinate and orchestrate admissions assessments for all grades; may be required to lead in-person, or lead or proctor virtual assessments.
- Facilitate and process billing for marketing, supplies, events, etc.
- Work with the design team to submit materials to vendors for production and ensure timely delivery of printed materials and signs.
- Manage administrative details, keep projects on schedule, and organize materials.
- Update and pursue delegated tasks to ensure progress to deadlines.
- Order supplies and manage mail.
- Work with confidential material and ensure discreet handling of all business and communication.
Requirements
- Ability to strategically engage prospective students throughout each stage of the admissions funnel to support enrollment goals.
- Ability to apply policies and procedures with empathy, flexibility, and sound judgment.
- Ability to maintain a highly-organized admissions office in a fast-paced environment with multiple parallel workstreams.
- Ability to identify and improve key details of any project or task.
- Ability to communicate internally and externally in a highly effective, clear, complete, and persuasive manner, both verbally and in written communications.
- Ability to take ownership of your own work and be receptive to feedback.
- Ability to thrive in a highly collaborative setting and work closely with others to execute complex team projects at the highest quality.
- Ability to make decisions, prioritize, and execute daily responsibilities with strong judgment and execution capabilities.
- Bachelor's degree.
- Administrative experience is a plus.
- Demonstrates technical skills and proficiency in the use of Microsoft Suite and internet searches.
- Experience in customer service and managing databases for Customer Relationship Management (e.g. HubSpot) and applicant tracking systems (e.g. Ravenna) preferred.
- Must be able to travel between our Lower School on the Upper West Side and Upper School in Chelsea as needed.
- Must be able to travel by air or motor vehicle to required training and development sessions as needed.
- Frequently walk, stand, sit, squat, stoop, reach, kneel, rise from the floor, twist, listen, read, write, and speak the English language.
- Often carry, lift, use repetitive or fine hand movements, and occasionally push, pull, or bend.
