About the Role

This role involves maintaining calendars, coordinating meetings, arranging travel, and managing expense reports for assigned staff. You will act as a subject matter expert on policies and procedures, manage phone calls, arrange meeting logistics, and maintain client contact information. Additionally, you will assist with technology requests, onboarding/offboarding processes, and prepare various documents and presentations.

Responsibilities

  • Maintain outlook calendars and manage the coordination and logistics of internal and external meetings.
  • Arrange and coordinate domestic and international travel agendas.
  • Handle expense reports for assigned staff, assist with expense pre-approval, and ensure policy adherence.
  • Act as a subject matter expert for the team regarding T&E and other policies.
  • Manage phones, screen incoming calls, and determine priority.
  • Arrange video conferences and meeting spaces.
  • Manage client contact information in RBC’s CRM, assist with call reports and data entry.
  • Assist with technology requests, supply orders, and miscellaneous queries.
  • Assist with staff on-boarding and off-boarding, including equipment setup and system access.
  • Create and edit spreadsheets and presentations for meetings.
  • Prepare and submit invoices.
  • Handle regular activities without prompting and advise in advance of issues or delays.
  • Work cooperatively with team members to provide overall coverage and backup support.
  • Maintain information flow to internal partners and stay updated on divisional activities.
  • Lead and coordinate ad hoc projects as requested.

Requirements

  • At least 3-5 years of administrative experience within the finance industry.
  • Bachelor’s degree or equivalent.
  • Ability to work in a dynamic, fast-paced environment.
  • Ability to organize, prioritize, multi-task, and solve problems efficiently.
  • High attention to detail.
  • High degree of integrity and confidentiality.
  • Able to learn new technology quickly and adapt functionality to departmental needs.
  • Exhibits sound judgement and decision-making abilities.
  • Ability to interact effectively and establish good working relationships with internal and external personnel.
  • Self-starter with ability to work independently.
