About the Role
The Senior Client Accounts Specialist collaborates with Legal Support Services and Accounting teams to deliver streamlined billing and client account services. This role handles complex domestic and global billing clients, edits and finalizes invoices, researches billing data, and provides detailed analysis. The specialist ensures a full-cycle billing support solution for attorneys with complex billing needs and mentors other staff members.
Responsibilities
- Performs duties to support the full billing cycle, including reviewing and editing proformas, seeking approvals for deferrals, write-offs, and time transfers.
- Fields billing inquiries.
- Creates and maintains complex monthly reporting, reviewing data for accuracy before submission.
- Gathers and submits accrual information based on client requirements.
- Researches and resolves electronic billing rejections.
- Maintains accurate descriptions of client billing requirements, including guidelines from the client’s general counsel, and tracks changes.
- Tracks and resolves tickets assigned by the Accounting Service Desk daily.
- Finalizes invoices and submits them directly to the client or provides them to attorneys for transmission.
- Provides support, guidance, mentoring, and training to staff.
- Submits finalized invoices electronically based on client requirements.
- Serves as a point of escalation for more junior Specialists.
- Coordinates and leads global client unified billing, managing account assignments and performing full-cycle billing functions.
- Liaises with international attorneys and/or finance counterparts for accurate accrual and forecasting information.
- Follows up with international counterparts to ensure budgets are maintained and invoices are issued timely.
- Troubleshoots issues with finance counterparts.
- Generates global client LEDES files for electronic billing.
Requirements
- 5 years of direct billing or client accounts experience (domestic, global, and e-Billing) for a law or professional services organization.
- Experience as a team lead or responsibility for complex billing is preferred.
- Strong computer skills, including advanced proficiency in Excel and accounting systems like Elite and/or Aderant.
- Proficiency in e-billing applications such as eHub or Bill Blast.
- Communicate effectively, both verbally and in writing, with clients, lawyers, business professionals, and external audiences.
- Produce high-quality work and respond to correspondence efficiently, timely, and professionally.
- Meet deadlines, manage competing priorities, and commit to meeting high standards.
- Comply with firm policies and procedures.
- Maintain confidences as required in a law firm environment.
- Sedentary work requiring occasional exertion of up to 10 pounds of force.
- Ability to sit for extended periods, with occasional walking and standing.
- Occasional travel, both domestic and international.
