About the Role
The Client Support Assistant will provide operational and administrative support to the Pensions team, ensuring client engagements run smoothly. This role is central to daily client service activities, assisting Client Support Executives and Trustee Directors with organization, record-keeping, and meeting support. It involves client and team administration, systems management, and financial processes, offering a great opportunity to build a career in professional services with strong team support and encouragement for learning and technology use.
Responsibilities
- Manage client and engagement administration for a portfolio of clients.
- Support diary management, including scheduling meetings, booking rooms, sending invites, and preparing agendas and papers.
- Assist with travel arrangements and logistics, anticipating needs in advance.
- Handle engagement expense management and reconciliation.
- Understand and execute client-specific chargeable work under direction.
- Assist with operational aspects of client service delivery.
- Generate engagement and client reports as required.
- Learn and implement client onboarding and scheme setup processes.
- Maintain client records and documentation according to governance standards across all systems.
- Ensure data quality for client records and engagement information in key systems.
- Support technology adoption and user confidence, assisting Trustees with system usage.
- Perform routine data checks and record updates across systems as requested.
- Assist with document filing, version control, and maintaining accurate records.
- Support system updates, testing, and process changes under guidance.
- Assist with invoicing, including WIP reviews, billing runs, and client queries.
- Help process expenses, credit notes, and rebills under guidance.
- Maintain accurate time recording against correct categories.
- Learn basic engagement financials to identify potential concerns.
- Escalate billing, WIP, or client finance queries to the appropriate personnel.
- Coordinate internal meetings, team events, and departmental activities.
- Support minute-taking, action tracking, and meeting administration.
- Assist with maintaining intranet content and team resources.
- Collaborate with CSE colleagues to ensure balanced workloads, absence cover, and seamless client service.
- Contribute ideas for improving team processes and efficiencies.
- Undertake appropriate training and engage in the performance management process.
- Contribute positively to the LawDeb culture, attend meetings, and perform duties diligently.
- Carry out other reasonable tasks and projects as assigned.
Requirements
- Previous administration or office support experience, ideally in a professional services or client-facing environment.
- Strong organizational skills and good attention to detail.
- Some experience of diary management, travel booking, invoicing, or client administration is helpful but not essential.
- Proactive problem-solver with a "sleeves rolled up" mentality, flexibility, and eagerness to learn.
- Good written and verbal communication skills, maintaining discretion.
- Ability to follow instructions, ask questions, and escalate issues appropriately.
- Confident using Microsoft Office, including Outlook, Word, and Excel.
- Thorough referencing process, including credit and criminal record checks.
