About the Role

As a Front of House Executive, you will provide a professional, warm, and friendly welcome to all talent, visitors, clients, and staff. You are required to deliver excellent customer service as the first point of contact at our studios. You will also provide support to other functions across the business, while ensuring a seamless and professional front-of-house service is delivered at all times.

Responsibilities

  • Exceed customer expectations through professionalism and quality of service.
  • Issue necessary forms for ID passes to staff, production, and visitors, following correct protocol and ensuring correct access control.
  • Build positive working relationships with colleagues in all departments and assist, advise, and update productions.
  • Ensure all required paperwork is completed and issue relevant documents such as studio regulations and security policy.
  • Take accurate records and promptly relay messages.
  • Manage diaries, noting relevant information relating to appointments and expected arrival times.
  • Maintain all documentation and databases.
  • Handle and file reception department email traffic and correspondence.
  • Manage lockers and keys.
  • Maintain high standards of cleanliness and presentation within the reception area.
  • Order stationery and reception supplies.
  • Continuously review systems and processes, identifying and recommending opportunities for improvement.
  • Support and coach Audio and Production Runner within the reception department.
  • Issue additional tasks to the Audio and Production Runner when required.
  • Act as the first point of contact for facility related complaints.
  • Complete daily, weekly, and monthly checks of premises.
  • Report any damage to studio facilities, fixtures and fittings promptly.
  • Liaise with third party suppliers and services.
  • Report security issues/risks.
  • Observe and comply with Company health and safety policy and practices.
  • Offer operational support to other departments.
  • Support with setting up events within the Studio.
  • Promote the safety and comfort of colleagues, freelancers, talent, clients, and vendors.
  • Adhere to company Security, Confidentiality and Health and Safety procedures.
  • Adhere to company IT and HR procedures.
  • Understand ethical behaviour and business practices, and ensure behaviour aligns with organizational values.

Requirements

  • Significant experience within a similar position.
  • Passionate about always delivering first-class customer service.
  • Excellent communication and customer care skills.
  • Proven organisational skills.
  • Attention to detail.
  • Self-motivated with the ability to take initiative, work independently and proactively identify and complete tasks with minimal supervision.
  • Ability to build and maintain strong, positive working relationships with colleagues, stakeholders, and external contacts.
  • Willing to take ownership and responsibility for tasks, ensuring they are completed to a high standard and within agreed timescales.
  • Ability to work effectively under pressure, manage competing priorities, and meet deadlines.
  • Proficient in the use of Microsoft Office, including Excel, Word, Outlook, Teams, Visio, and PowerPoint.
