Responsibilities

  • Support and coordinate the smooth running of the London office, ensuring ISO quality processes for facilities are maintained.
  • Ensure all new starters' workspaces are ready.
  • Maintain office stock of necessary essentials.
  • Maintain records, resolve identified issues, and complete new starter inductions.
  • Serve as the primary contact for visitors, preparing meeting rooms, providing refreshments, and ensuring a welcoming atmosphere.
  • Book travel arrangements, including trains and flights, for employees and contractors.
  • Provide administrative support to the Executive Assistant, including taking meeting minutes, managing correspondence, and handling ad hoc admin tasks.
  • Communicate effectively with internal and external stakeholders.
  • Answer incoming PGI calls and handle inquiries appropriately, ensuring timely and effective resolution.

Requirements

  • Demonstrable experience in office/facilities management.
  • Proactive problem-solving abilities.
  • Capacity to multi-task.
  • Excellent time management skills.
  • Ability to prioritize tasks effectively.
  • A ‘no job too small’ attitude.
  • A friendly and welcoming personality.
  • Ability to work well with others.
  • Strong working knowledge of MS Office.
  • Ability to remain calm under pressure.
  • Ability to manage a diverse workload.
  • Experience in taking meeting minutes (essential).
  • Exceptional communication skills, particularly in writing clear and professional emails.
  • Strong organizational and administrative skills.
