About the Role

Responsibilities
- Support and coordinate the smooth running of the London office, ensuring ISO quality processes for facilities are maintained.
- Ensure all new starters' workspaces are ready.
- Maintain office stock of necessary essentials.
- Maintain records, resolve identified issues, and complete new starter inductions.
- Serve as the primary contact for visitors, preparing meeting rooms, providing refreshments, and ensuring a welcoming atmosphere.
- Book travel arrangements, including trains and flights, for employees and contractors.
- Provide administrative support to the Executive Assistant, including taking meeting minutes, managing correspondence, and handling ad hoc admin tasks.
- Communicate effectively with internal and external stakeholders.
- Answer incoming PGI calls and handle inquiries appropriately, ensuring timely and effective resolution.
Requirements
- Demonstrable experience in office/facilities management.
- Proactive problem-solving abilities.
- Capacity to multi-task.
- Excellent time management skills.
- Ability to prioritize tasks effectively.
- A ‘no job too small’ attitude.
- A friendly and welcoming personality.
- Ability to work well with others.
- Strong working knowledge of MS Office.

- Experience in taking meeting minutes (essential).
- Exceptional communication skills, particularly in writing clear and professional emails.
