About the Role

Primarily work on pediatric schedules and close facility at the end of the day. Performs business office functions within a medical clinic related to appointment scheduling, registration, claims management, cash collection, and medical records maintenance. May be asked to float to other PPG clinics during times of high patient volume or to assist with coverage.

Responsibilities

  • Screens and refers all incoming calls and customers/patients.
  • Manages customer and/or patient flow.
  • Maintains current medical records.
  • Files secondary insurance claims.
  • Enters charges and payments.
  • Files workers compensation claims.
  • Files corporate services claims.
  • Pursues collections daily.
  • Investigates patient billing inquiries.
  • Orders supplies.
  • Prepares mandatory computer-generated reports.
  • Collects data such as vital signs, height, and weight.
  • Manages medical records through an established filing system.
  • Handles document management including transcription, incoming mail, diagnostic reports, and copy requests.
  • Confirms accuracy of patient information in the database.
  • Informs patients of scheduled appointments.
  • Documents and submits required information and data in a timely fashion.
  • Clearly and accurately documents designated processes, policies, and service offerings.
  • Tailors documentation to expected readers/users.
  • Uses correct terminology and conforms to required style and format.
  • Collects, posts, and investigates patient payments in accordance with contractual agreements.
  • Informs or pursues patient co-pays and other patient responsibilities at the date of service.
  • Enters patient charges at the time of completed services for accurate billing.
  • Deposits or posts all payments to appropriate cost center accounts.
  • Obtains and documents all necessary insurance information.
  • Monitors or files all secondary insurance, workers compensation, and corporate services insurance claims.
  • Reviews explanation of benefits and follows up on denials and delinquent pending claims.
  • Screens and refers all incoming calls and visits to ensure accurate and timely communications.
  • Schedules the patient's next appointment based on physician's orders.
  • Attaches transcription notes to the medical record and files charts.
  • Enters address changes into the database.
  • Assists in stocking, care, and maintenance of department equipment and supplies.
  • Reports defective office equipment to management.
  • Documents maintenance and repair of office equipment.
  • Prepares financial reports for the respective area.
  • Takes meeting minutes.
  • Adheres to hospital and departmental attendance and punctuality guidelines.
  • Performs job responsibilities in alignment with the organization's core values, mission, and vision.
  • Performs other duties as required and completes all job functions per departmental policies and procedures.
  • Maintains current knowledge in areas of responsibility through self-education and ongoing educational programs.
  • Attends staff meetings and completes mandatory in-services, requirements, and competency evaluations.
  • Demonstrates competency in providing age-specific patient care.
  • Wears protective clothing and equipment as appropriate.

Requirements

  • High School Diploma or GED required.
  • No experience (entry-level) of medical office experience required.
  • No experience (entry-level) of customer service experience required.
