About the Role
Cushman & Wakefield is seeking a Building Manager to ensure a legally compliant, safe, and customer-focused environment, consistently achieving agreed service levels within a staffed building. This role involves reporting on daily operations, coordinating risk management, overseeing supply partners, managing works through the CAFM system, and serving as the primary contact for occupiers. The Building Manager will represent the company, champion its brand values, and deliver exceptional occupier and client experiences.
Responsibilities
- Manage the Helpdesk facility, ensuring effective system operation, timely work order authorization, accurate data management, and appropriate delegation.
- Respond to, resolve, and record complaints, maintaining stakeholder communication and identifying service improvement opportunities.
- Ensure legal and statutory compliance through timely inspections, maintenance, and repairs.
- Identify works subject to CDM Regulations and ensure appropriate Principal Contractor appointments.
- Manage Facilities Management fees, ensuring alignment with scope of services, annual review, and correct invoicing.
- Enhance occupier and client experience by identifying value-add opportunities and delivering exceptional customer service.
- Oversee annual risk assessments (Asbestos, Fire, Health & Safety, Working at Height, Water Treatment) and ensure timely completion of actions.
- Follow HR procedures, including absence management, expense claims, and performance reviews; conduct one-to-ones and promote employee wellbeing.
- Manage insurance claims processes, ensuring accurate reporting, escalation, and stakeholder communication.
- Notify Property Surveyors of tenant activities that may breach lease agreements.
- Manage occupier inquiries related to Facilities Management services and direct lease/tenancy queries appropriately.
- Raise purchase orders and authorize invoices within approved Facilities Management budgets.
- Conduct regular building inspections, maintain risk management system reports, and identify operational improvements.
- Supervise, coach, and develop direct reports, ensuring adherence to company procedures and service standards.
- Oversee reactive maintenance and Helpdesk activity, ensuring Service Level Agreements are met and seeking process improvements.
- Build and maintain strong working relationships with occupiers, surveyors, service partners, and colleagues.
- Develop, test, and annually review business continuity and major incident management plans.
- Produce and manage service charge budgets, reconciliations, and quarterly variance reports.
- Manage contractors and suppliers, ensuring compliance with Health & Safety requirements and service agreements.
- Manage sustainability reporting requirements and ensure routine reporting and meter readings are completed.
Requirements
- Proven track record within Facilities Management.
- Experience leading, motivating, and developing small Facilities Management teams.
- Strong understanding of output specifications and commercial management of performance-based contracts.
- Experience working collaboratively with property and finance teams.
- Experience managing building budgets, cost control, and financial reporting.
- Strong occupier and stakeholder management skills.
- Demonstrable experience developing effective internal and external networks.
- Strong leadership skills.
- Proven experience coaching, mentoring, and developing others.
- Good working knowledge of relevant legislation.
- Experience using CAFM systems, including Meridian and E-Logbooks.
- Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and Internet applications.
