About the Role

The People Associate supports the smooth coordination and administration of HR processes, employee lifecycle activities, and employee experience across all regions. This junior, entry-level role is focused on delivering accurate, timely, and consistent People support while building foundational HR knowledge through practical, hands-on experience and guidance from the Senior People Partner. The role supports talent acquisition administration, onboarding, employee records, HR systems, documentation, employee queries, compliance activities, and continuous improvement in HR service delivery. Working closely with People teams and relevant stakeholders, the People Associate contributes to reliable day-to-day HR coordination and service delivery while developing core capability in a People function.

Responsibilities

  • Support HR operations and People priorities by assisting with consistent processes and employee experience across all regions.
  • Contribute to data quality and reporting by accurately maintaining HR records and systems under guidance.
  • Work with People teams and cross-functional partners to support HR service delivery processes and identify practical opportunities for continuous improvement.
  • Support employee queries through the HR Helpdesk, escalating complex matters and ensuring responses are timely, accurate, and policy-aligned.
  • Maintain accurate HR records and files across the employee lifecycle, including onboarding, probation, role changes, transfers, and exits.
  • Perform recruitment-related HRIS activities, including maintaining requisitions, preparing employment documentation, and ensuring recruitment records are accurate and complete.
  • Assist with first-line HRIS support, including workflow approvals, cost centre updates, system testing, and actioning corrections in the HRIS.
  • Prepare standard employee letters and documentation, including statements of service, promotion or role change letters, and other employment-related correspondence.
  • Prepare employment variation letters, including remuneration, role, and hours changes, and coordinate with Payroll to ensure accurate and timely input.
  • Administer leave processes, including parental leave, ensuring documentation, approvals, and employee communications are completed accurately and in line with relevant requirements.
  • Support new hire onboarding processes and experience, including documentation, background verification coordination, employee communications, and HRIS set-up.
  • Coordinate offboarding processes, including required employee communications, system deactivation, and Payroll notification where required.
  • Coordinate ongoing screening requirements for identified roles, supporting compliance with internal policies and regional requirements.
  • Support centralised HR operations activities across all regions, ensuring consistent delivery and service standards.
  • Capture and act on employee feedback from onboarding and HR service delivery to support continuous improvement.
  • Assist with monitoring and reporting on HR service delivery metrics, including turnaround times, SLA adherence, and query resolution quality.
  • Support regular employee data reviews and audits to help ensure accuracy, completeness, compliance, and audit readiness.
  • Provide accurate and timely information to employees and stakeholders, ensuring clarity, consistency, and a positive HR service experience.
  • Support compliance with internal policies, employment requirements, audit obligations, and regional HR processes under guidance.
  • Maintain confidentiality, integrity, and accuracy of employee data and employment records.
  • Ensure employee documentation and file management meet audit readiness requirements.

Requirements

  • Early career experience in HR, business administration, employee services, or a related coordination role is desirable but not essential.
  • Foundational understanding of HRIS platforms, employee data, or administrative systems, with a willingness to build capability through hands-on coordination and service delivery experience.
  • Exposure to employee lifecycle processes, HR documentation, recruitment administration, or compliance activities is advantageous.
  • Interest in working in a matrixed, regional, or shared services environment and contributing to effective People operations and employee experience.
  • Detail-oriented, with a strong focus on accuracy, process adherence, and data integrity.
  • Empathetic communicator who handles employee interactions with sensitivity, professionalism, and discretion.
  • Proactive and solution-oriented, with curiosity, initiative, and a willingness to learn and improve processes.
  • Strong collaborator who builds effective working relationships with People teams, business stakeholders, and cross-functional partners.
  • Comfortable working in a dynamic, fast-paced environment with shifting priorities and regional stakeholders.
  • Ethical and discreet, maintaining confidentiality and demonstrating integrity when handling sensitive information.
