About the Role

We are seeking an organised and proactive Administrator to support our Partners, Directors, Senior Managers and wider team in our Heathrow office. This varied position combines secretarial support, client administration and day-to-day office coordination. The role is fully office-based, five days per week.

Responsibilities

  • Providing secretarial and administrative support to Partners, Directors, Senior Managers and the wider Heathrow team
  • Managing diaries, arranging meetings and preparing meeting rooms and refreshments
  • Preparing and formatting letters, reports, proposals, presentations and meeting minutes
  • Supporting client onboarding and anti-money laundering procedures, including engagement letters, client set-up forms and related documentation
  • Maintaining accurate client records, contact details and filing systems
  • Supporting the administration of client accounts and tax returns, with training provided on the relevant systems
  • Processing invoices, expenses and other routine financial administration
  • Coordinating travel, accommodation, couriers, post and banking where required
  • Providing reception cover as part of the office rota and welcoming clients and visitors
  • Assisting with client meetings, office events and social activities
  • Helping with the smooth day-to-day running of the Heathrow office, including ordering supplies and maintaining office records

Requirements

  • Previous experience in an administrative, secretarial, team support or personal assistant role
  • Experience gained within a professional services, accountancy, legal, financial services or similarly structured corporate environment
  • Ability to attend the Heathrow office five days per week

Skills

  • Strong Microsoft Office skills, particularly Word, Excel, Outlook and PowerPoint
  • Experience preparing and formatting professional documents, reports and spreadsheets
  • Excellent written and verbal communication skills
  • Strong organisational skills, with the ability to manage competing priorities
  • High attention to detail and a discreet approach to confidential information
  • A proactive, flexible and dependable working style
  • Confidence working independently while contributing to a close-knit office team
  • A professional and welcoming approach when dealing with clients, visitors and colleagues
