About the Role

The Principal Accounts Clerk 2 processes and pays a high volume of vendor invoices, supports the Accounting Team, and monitors adherence to Finance Department policies. This role involves journal entry, compliance, and other operational duties.

Responsibilities

  • Serve as the primary contact for the Accounts Payable email inbox, sorting and dispatching invoices.
  • Address most queries in the Accounts Payable email inbox, forwarding appropriate items to Clerk 1.
  • Review and log vendor invoices, ensuring proper coding, approval, and timely payment according to museum policies.
  • Provide backup support for Principal Accounts Payable Clerk 1 tasks, including payment runs and check issuance.
  • Prepare and submit compliance reports such as semimonthly EDD reports, annual 1099 filings, and California unclaimed property.
  • Review and approve Concur expense submissions weekly for policy adherence.
  • Review monthly US Bank corporate credit card transactions for policy adherence.
  • Download and prepare monthly journal entries in FinancialEdge.
  • Follow up weekly on outstanding invoices to ensure timely processing.
  • Verify vendor EIN#s and TINs using the IRS TIN Check system for new vendor setup.
  • Order cash for Admissions, Membership, and Registration, ensuring proper documentation.
  • Create monthly and quarterly journal entries, and prepare required reports and reconciliations.
  • Monitor Merchant Services Accounts with Wells Fargo & Authorized.net, and Cybersource.
  • Act as the point of contact for training coders and approvers on PaperSave & FinancialEdge.
  • Provide backup support for the Principal Accounts Receivable Clerk, including cash counts and check deposits.
  • Handle special projects and other assigned duties, such as office supply ordering and storage coordination.

Requirements

  • High school diploma/GED required.
  • Additional courses in bookkeeping and/or accounting required.
  • Minimum 4 years of accounting and bookkeeping experience in general accounting.
  • Experience in Accounts Payable, Journal Entries, and reporting required.
  • Experience in a museum or similar non-profit environment is desirable.

Skills

  • Proficient in Google Suite and Microsoft Office suite products.
  • Advanced Excel knowledge with experience using pivot tables and lookups.
  • Ability to work well with other staff members.
  • Ability to clearly explain transactional details verbally and in writing.
  • Ability to individually prioritize tasks.
  • Ability to coordinate work with other team members to meet deadlines.
  • Detail-oriented with a high level of accuracy.
  • Ability to meet deadlines and handle multiple tasks simultaneously.
  • Prior experience with accounting application software required.
  • Blackbaud FinancialEdge and PaperSave or similar software systems a plus.
